Staffing Assistant
Location: Lowell, MA (Onsite – This is not a remote position)

Position Summary
The Staffing Assistant supports recruiting, hiring, onboarding, and workforce scheduling activities. This role works closely with recruiters, hiring managers, and candidates to ensure a seamless hiring process while maintaining accurate employee and candidate records. This position is ideal for someone interested in building a career in Talent Acquisition with a growth path toward a Recruiter role.

Key Responsibilities

- Post job openings on job boards, social media, and company websites.

- Review applications and maintain Applicant Tracking Systems (ATS).

- Schedule interviews and coordinate communication between candidates and hiring managers.

- Assist with reference checks, background screenings, and hiring documentation.

- Support recruitment events, job fairs, and hiring initiatives.

- Maintain employee and candidate records with accuracy and confidentiality.

- Coordinate new hire onboarding and orientation activities.

- Assist with scheduling, staffing coverage, and workforce tracking.

- Respond to applicant and employee inquiries regarding staffing and employment processes.

- Provide recruitment updates and staffing reports as needed.

Qualifications

Required

- 1–2 years of administrative, staffing, customer service, or office support experience.

- Proficiency in Microsoft Office (Word, Excel, Outlook).

- Strong organizational, multitasking, and communication skills.

- Bilingual English/Spanish preferred.

- Ability to handle confidential information with discretion.

- Strong attention to detail and ability to work in a fast-paced environment.

Preferred

- Experience with Applicant Tracking Systems (ATS).

- Interest in pursuing a career in Recruiting or Talent Acquisition.

- Strong customer service and relationship-building skills.
