Position Overview

An established manufacturing and supply organization is seeking a proactive, highly organized Inside Sales Coordinator to support client accounts and operations. This role acts as a vital bridge between clients, account managers, purchasing, and the production floor to ensure accurate order processing, priority scheduling, and timely order fulfillment in a fast-paced environment.

Key Responsibilities

Order Management & Expediting: Receive and process sales orders in collaboration with Key Account and Outside Sales Managers. Monitor order status, expedite critical requests, and communicate delivery timelines directly to clients.

Cross-Department Coordination: Work closely with Purchasing to navigate material shortages and coordinate with production to align manufacturing priorities with customer needs.

Work Order Processing: Create, assign, and close shop floor work orders using Bills of Materials (BOMs) upon job completion.

Client Communication & Service: Manage the primary sales inbox with target response times within 24–48 hours. Update customer portals and internal business systems with accurate lead times and shipping updates.

Pricing & Inventory Verification: Review sales orders against active inventory and pricing structures, requesting client updates on terms (e.g., pricing, Incoterms) when necessary.

Quoting & Technical Support: Assist with quoting material costs and lead times while partnering with Technical Sales to build core product knowledge.

Documentation & Compliance: Organize and maintain electronic client files via Microsoft OneDrive in compliance with standard quality management system (ISO) requirements.

Qualifications & Requirements

Proven background in customer service, sales support, order entry, or inventory-adjacent admin roles within a collaborative office environment.

Strong problem-solving abilities with the agility to reprioritize tasks quickly.

Proficiency in Microsoft Excel (intermediate/advanced skills like VLOOKUPs and Pivot Tables are a strong plus).

Proficiency in basic data entry and computer file management.

Excellent written and verbal communication skills; Spanish fluency is a plus.

Familiarity with CRM platforms (e.g., Salesforce) is preferred but not required.
