The Opportunity

DeWitt is seeking a professional, dependable, and service-oriented Office Coordinator to join our Mequon office. This position is an important first point of contact for our clients, attorneys, coworkers, and visitors, and plays a key role in creating a welcoming, professional office environment.

Our Mequon office has a strong focus on estate planning and regularly works with clients who expect a high level of professionalism, discretion, responsiveness, and personal attention. The ideal candidate will take pride in providing a professional client experience while also being comfortable managing a variety of administrative responsibilities behind the scenes.

This is a 100% on-site position , Monday through Friday, from 8:00 a.m. to 5:00 p.m.

What You'll Do

Client & Reception Services

- Serve as the first point of contact for clients, visitors, attorneys, and vendors.

- Greet clients and visitors warmly and professionally.

- Answer and direct incoming telephone calls promptly and courteously.

- Assist clients and visitors with questions and requests while maintaining a high level of discretion and confidentiality.

- Coordinate conference rooms and assist with client meetings and office events.

- Maintain a professional, welcoming, and organized reception area.

- Receive, sort, and distribute mail, deliveries, and other correspondence.

Administrative & Office Support

- Perform a variety of general administrative tasks to support the Mequon office.

- Prepare, organize, scan, copy, print, and distribute documents.

- Regularly operate office equipment, including printers, copiers, scanners, postage equipment, and other technology.

- Assist with document assembly, filing, data entry, and maintaining organized office records.

- Coordinate incoming and outgoing mail and packages.

- Monitor office supplies and assist with ordering and maintaining appropriate inventory.

- Assist with scheduling, meeting preparation, and other administrative needs as assigned.

- Work with attorneys and staff to address day-to-day office needs and resolve issues as they arise.

Office Coordination

- Help maintain a clean, organized, and professional office environment.

- Coordinate with building management and vendors as needed.

- Identify office needs and take initiative to address them or communicate them to the appropriate person.

- Provide backup support to other administrative functions when needed.

- Has previous experience in a receptionist, office coordinator, administrative, customer service, or similar role.

- Presents a polished, professional, and welcoming demeanor.

- Enjoys frequent interaction with people and takes pride in providing excellent service.

- Communicates clearly and professionally in person, by telephone, and in writing.

- Demonstrates excellent organization and attention to detail.

- Can confidently manage multiple priorities in a busy professional environment.

- Is comfortable learning and regularly using office equipment and technology.

- Demonstrates good judgment and understands the importance of confidentiality and discretion.

- Takes initiative and looks for ways to solve problems rather than simply identifying them.

- Is dependable, punctual, and willing to pitch in wherever needed to support the team.

- Is comfortable working 100% on-site, Monday through Friday, 8:00 a.m. to 5:00 p.m.

Previous experience in a law firm or other professional-services environment is helpful, but legal experience is not required . We are particularly interested in candidates who bring strong client-service skills, professionalism, and a willingness to learn.

Qualifications and Education Requirements

- Education: Associate degree, High School Diploma, GED Equivalent, or job-related experience.
