Responsibilities

- Provide comprehensive administrative support to the Fleet Manager, serving as the primary liaison for the department and key stakeholders.

- Maintain and update the fleet database, ensuring timely processing of vehicle assignments, fuel pins, cost center, and location information.

- Ensure compliance with internal company processes, maintenance service schedules, mandatory inspections, and safety policies related to fleet operations.

- Coordinate with vendor call center operations to review and authorize repair and maintenance service requests using our network of suppliers.

- Reconcile and review weekly and monthly fleet invoices.

- Handle vehicle registration renewals and ensure proper enrollment in the tolling system.

- Review and reconcile tolls and violations promptly.

- Actively communicate with the fleet manager, operations management, financial manager, and vehicle/equipment operators to resolve vehicle/equipment issues.

- Manage DMV vehicle registrations, inspections, licensing, and regulatory compliance.

- Assist in preparing and reviewing reports and presentations using Word, Excel, PowerPoint, and SharePoint.

- Maintain the tool database and manage vehicle and tool reconciliations, submitting them to the Financial Manager monthly.

- Organize and manage the Asset/Fleet filing system, ensuring efficient document storage, retrieval, and compliance with data security protocols.

- Perform other duties as assigned.

Qualifications

- High School Diploma

- 2-5 years of administrative experience

- Proficiency in MS Office Suite, with strong Excel skills, including VLOOKUP and pivot tables

- Excellent research and analytical skills

- Strong time management skills

- Exceptional verbal and written communication skills
