We are partnering with a well-known company in the Kansas City area that is looking to add an Administrative Assistant to their team. This is a great opportunity to get your foot in the door with a strong organization and gain exposure across multiple departments. The ideal candidate will be tech-savvy, organized, and comfortable managing multiple priorities . Responsibilities will include creating presentations, tracking budgets, assisting with forecasting, compiling reports and data, coordinating communications, and helping keep projects on track. Strong PowerPoint skills are important, and experience with AI tools would be a big plus. The position is targeting $19-$20/hour and is a contract role through May with strong potential for permanent hire . Job Description The Department Assistant provides comprehensive administrative support to department leadership to ensure the smooth, day-to-day operation of the department. This role coordinates administrative services that align with department and business line goals, supports internal communications, and helps manage key initiatives, meetings, and reporting activities. The Department Assistant serves as a central point of contact for department information, contributing to efficient operations and a well-organized work environment. Responsibilities

- Collaborate with department management to provide administrative support that ensures continuity of daily department functions and alignment with business line goals and objectives.
- Facilitate the dissemination of information to the department and project teams as part of the overall communications and department management process.
- Respond to questions regarding the department by researching issues and providing accurate, timely answers.
- Prepare and present meeting notes, presentations, tables, and other materials using Microsoft Excel, PowerPoint, Access, Word, and other relevant programs.
- Assist in developing procedures related to departmental and business line requirements and support the development and implementation of business initiatives.
- Monitor department deadlines and benchmarks and support the preparation and presentation of monthly progress reports, including tracking action items and progress updates.
- Plan, coordinate, and facilitate on-site and off-site meetings such as department orientations and trainings, stakeholder meetings, management meetings, and periodic reviews.
- Coordinate required training programs and maintain training records for department personnel in partnership with the corporate training function and project requirements to ensure compliance.
- Assemble and analyze information related to business plans and financial reports, contributing to the preparation and submission of final business plans.
- Monitor, review, and approve standard departmental expenditures to help ensure activities are conducted within established budgets.
- Prepare a variety of communications, including emails, meeting agendas, and meeting minutes, ensuring clarity, accuracy, and professionalism.
- Handle sensitive and confidential information with discretion and in accordance with organizational policies.
- Coordinate department-related operational issues such as resources, workstations, space assignments, and supplies, and follow up to ensure issues and complaints are resolved.
- Provide general administrative support including data entry, office support, and clerical tasks as needed.
- Deliver high-quality customer service to internal and external stakeholders, including clients, vendors, business partners, and community representatives.
- Comply with all organizational policies, procedures, and standards.
- Perform other related duties as assigned to support the department’s overall effectiveness.

Essential Skills

- Bachelor’s degree with a minimum of 1 year of relevant experience.
- Documented event planning experience, clearly reflected on the resume.
- Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint.
- Proficiency with general Microsoft Office tools and office administration software.
- Strong administrative support skills, including data entry, clerical work, and office support.
- Ability to work independently while demonstrating accuracy, reliability, and effective problem-solving skills.
- Excellent organizational skills with strong attention to detail and the ability to manage multiple tasks and priorities simultaneously.
- Strong verbal and written communication skills with the ability to prepare clear, professional correspondence and meeting documentation.
- Demonstrated ability to communicate professionally and effectively with all levels within an organization and with external stakeholders such as clients, vendors, business partners, and community leaders.
- Customer service orientation with the ability to support both internal and external stakeholders.
Job Type & Location
This is a Contract to Hire position based out of Kansas City, MO.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
