The Remote Site Coordinator (RSC) is responsible for delivering client facing services as part of C&W’s Remote Site Management service capability within C&W’s Manila based Portfolio Services Centre. C&W’s Remote Site Management service provides virtual and remote operational support and facilities coordination services for our client’s sites and operations across the APAC Region.
This role will require the holder to operate in accordance with established and developing processes, material and management systems aimed at providing remote site management support to range of sites across the APAC region. The RSC will work either independently or as part of a team to provide site coordination services for the assigned portfolio.
Job Description
Responsibilities
1. Operations Support
- To help prepare, assist and implement an effective remote site support service aimed at meeting the remote facilities and property support needs of a wide and varied managed property portfolio distributed through-out the APAC region.
- To develop and continuously improve business process, practices and management systems that enable and support the Remote Site Management function.
- To build, and then sustain, competency and capacity within the Operations Hub for a suite of remote site management services including but not limited to: Site based Vendor engagement, deployment, coordination, and management
- Site based Occupier engagement, liaison, and relationship management
- Assist in collection and collation of Building & Facilities related information and data sets
- Maintain Remote Site Management related Standard Operating Procedures
- Site service work request handling, management, and closeout (via work order management system and/or direct work request via email / IM / telephone etc.
- Reporting status, progress and performance for the managed portfolio and properties
- To communicate (liaise, consult and inform wherever fitting or necessary) clearly, effectively and promptly (in any format whether written or oral) with senior business leaders, colleagues, other business unit managers, subordinates and both internal and external clients.
- Manage personal inputs, priorities and outputs as needed to meet deadlines and delivery dates per agreed schedule and program.
- Constantly deliver high quality, accurate and value rich outputs according to the reasonable expectations of the leadership team.
- Consistently demonstrate thought leadership and experience as a remote site facilities and operations management subject matter expert.
- Manage relationships with both internal and external customers, clients, prospects, contractors, consultants, and other stakeholders in a constantly professional and result orientated fashion.
- Undertake other related duties and responsibilities as may from time to time be negotiated and assigned by the leadership team.
- Continuously represent yourself and Cushman & Wakefield, both internally and externally, as a qualified, capable, and experienced real estate, workplace, and facilities management services provider.
2. Administrative & Process Support
- Perform a range of administrative tasks to support country teams, ensuring smooth day‑to‑day operations.
- Support the preparation and maintenance of operational documents, procedures, and guidelines.
- Assist in maintaining compliance with internal policies and standard practices.
- Help update and manage key documents such as contact lists, trackers, and contingency plans.
- Maintain daily, weekly, and monthly reporting cycles, ensuring timely submission and alignment with stakeholder requirements.
- Maintain and regularly update operational documents, including playbooks, call trees, and the Business Continuity Plan (BCP), to ensure accuracy and preparedness.
- Provide training and knowledge‑sharing sessions for country teams to ensure consistent understanding of processes, systems, and best practices.
3. Financial & Invoice Support
- Create, manage, and track Purchase Orders (POs) to ensure accuracy, timeliness, and compliance with standard operating procedures.
- Assist in invoice processing, including validation, tracking, and coordination with vendors and internal teams.
- Help monitor payment status and follow up on discrepancies or outstanding items.
- Assist in financial reporting and data consolidation to support operational and finance requirements.
- Collaborate closely with Finance to resolve system issues, discrepancies, and other finance‑related concerns.
4. Operational Excellence
- Support the client’s broader Corporate Real Estate and workplace strategy by proactively identifying operational needs, potential risks, and service gaps, ensuring they are addressed through the appropriate processes and channels.
- Collaborate closely with cross‑functional teams—including property management, technical services, workplace operations, housekeeping, and third‑party partners—to drive timely, high‑quality resolution of issues across all workplace environments.
- Uphold safety, security, compliance, and confidentiality standards to maintain a reliable, well‑governed, and trusted workplace experience.
- Contribute insights, observations, and recommendations that enhance service quality, streamline workflows, and elevate the overall employee, guest, and stakeholder experience.
5. Collaboration & Cross ‑ Support
- Work proactively and collaboratively across teams to anticipate needs and support colleagues, stakeholders, with a seamless, solution‑oriented approach.
- Partner with workplace, facilities, operations, and experience teams to deliver cohesive, end‑to‑end service across all zones and work environments.
- Assist with events, tours, executive engagements, and special onsite activities to help create a polished, well‑coordinated experience for employees and guests.
- Provide flexible support across the site as needed to maintain consistent service standards and ensure smooth daily operations.

Experience and Education
- Diploma or Bachelor’s degree (or equivalent experience)
- Proficient in spoken and written English and Cantonese
- Must have 1-3 years facility management and remote site operational exposures
- Advanced skills in MS Office such as powerpoint, word, excel etc.
- Must be internet savvy and with advanced IT skills providing remote communications
- Willing to work in shifting schedules as well as holidays
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. May be required to travel outside between properties in varying weather conditions.
