Work Schedule: This is a 24/7 on-site role with rotating shifts, including night shifts. The position offers two days off per week, which may not always fall on weekends. Flexibility and adaptability to a continuous shift-based environment are essential. There is no hybrid work arrangement for this position and it requires working onsite five days a week.
Role Description & Purpose
The Assistant Teaching Operations Manager will support the effective delivery of English Online’s Teaching Operations by monitoring student booking trends and assisting in timetable optimisation. The role will contribute to planning and deploying teacher resources to meet demand while supporting cost-effective operations across English Online’s offerings, as well as supporting data reporting and ensuring adherence to service level agreements through collaboration with the Teaching Operations Manager. Working closely with internal stakeholders, such as Partnerships, Sales and Customer Service, the Assistant Teaching Operations Manager will help plan and deliver various projects and contribute to initiatives focused on timetabling improvements and resource management efficiencies. The role will also support the recruitment, onboarding and scheduling of new teachers, ensuring adherence to British Council policies and contributing to English Online’s growth and service quality.
Role Accountabilities
The Assistant Teaching Operations Manager implements standard operating procedures and contributes to meeting performance targets under the guidance of the Teaching Operations Manager. The role assists in managing resourcing, timetabling, and capacity adjustments to support smooth and consistent service delivery. It ensures adherence to SLA standards with internal and external customers and suppliers by following established processes and providing timely support for issues that arise. The role also collaborates with the Teaching Operations Manager to monitor demand trends and makes preliminary adjustments to forecasts and resources as needed.
The role builds and maintains strong working relationships with internal stakeholders across English Online, supporting communication between Teaching Operations and teams such as Sales, Customer Service and Tech/Product. It provides teachers with operational updates and addresses routine queries related to timetabling and non-academic support areas, escalating complex queries as necessary.
The Assistant Teaching Operations Manager supports data collection and analysis efforts to inform business process improvements, generating routine reports and offering initial recommendations to the Teaching Operations Manager. The role assists in monitoring OKRs and KPIs, preparing data as needed to track performance and support reporting requirements.
The role maintains accuracy in timetabling and booking data, monitors student booking patterns and supports forecasting adjustments in collaboration with the Teaching Operations Manager. It also assists in uploading classes and seeks approval ahead of doing so.
The Assistant Teaching Operations Manager follows agreed corporate risk management processes and procedures when delivering services, including child protection, security policies, financial protocols and anti-fraud measures, to protect the interests of British Council and its customers at all times.
Qualifications & Experience
Essential
- Bachelors degree or equivalent.
- Experience of working in an operations/service delivery role.
- Experience of monitoring costs.
- Experience of contributing to the delivery of process improvements in a commercial context.
Desirable
- Microsoft Office Specialist certification in Excel – Expert level or higher, or equivalent courses (e.g. through Coursera, Udemy, LinkedIn Learning, edX).
- Courses/certifications in data visualisation and/or AI/machine learning.
- Courses/certificates in Microsoft Power BI or Tableau.
- Experience using timetabling software or scheduling systems (e.g. in the education or travel industries).
- Experience working with a relational database.
- Experience working with hourly-paid staff and/or non-permanent workers.
- Experience working within the education industry.
