About this role

Job Summary:

This position will be responsible for coordinating the day-to-day project administrative activities and supporting project managers in the successful delivery of construction and design projects for our valued transportation clients. The ideal candidate will have experience providing similar project administration and/or project delivery support within the A/E/C industry.

Job Responsibilities

- Assist project managers with project administration, including PennDOT ECMS, prime agreements and subconsultant agreements, invoicing, supplements, correspondence, and required project documentation.

- Maintain and monitor project financial information, including budgets, labor utilization, invoices, accounts receivable, and project expenses, and overall project financial performance.

- Assist with internal project setup, maintenance, and closeout.

- Coordinate and review weekly timesheet and expense report submissions for field and office personnel, verifying client-specific requirements.

- Support preparation of proposals, SOIs, presentations, and other marketing materials, including formatting, proofreading, resumes, and compliance with solicitation requirements.

- Maintain organized electronic project files and assist with document control, including contracts, correspondence, invoices, reports, meeting records, and other project documentation.

- Coordinate office meetings, volunteer opportunities and other events.

Job Requirements :

- Associates or bachelors degree in business administration, Accounting, Communication, Marketing or related field preferred; equivalent professional experience will be considered.

- At least five years of experience providing project administration or project delivery support.

- Experience in Engineering, Architectural, Construction or similar professional services firm a plus.

- Experience with PennDOT ECMS a plus.

- Experience with Deltek Vantagepoint or similar project accounting/ERP systems preferred.

- Ability to work independently, exercise sound judgment, and proactively identify and resolve issues.

- Strong writing, proofreading, and editing skills required.

- Exceptional attention to detail and accuracy.

- Strong working knowledge of MS Office Suite - primarily Excel

- Working knowledge of Adobe Creative Suite and Bluebeam.

- Ability to prioritize and manage multiple projects, deadlines, and competing priorities in a fast-paced environment.

Pay Rate: $50,000 - $70,000 / annually
