Become an Administrative Assistant, Senior at Southern California Edison (SCE) and build a better tomorrow. In this job, you’ll play a critical role in enabling four Principal Managers to operate effectively by providing proactive administrative support, strong calendar discipline, clear communication, and reliable coordination across priorities, meetings, deliverables, and stakeholders.
Key Areas of Focus:
- Calendar and Priority Management: Manage complex calendars for four Principal Managers, proactively resolving conflicts, protecting focus time, and ensuring leaders are prepared for key meetings and deadlines.
- Meeting Coordination and Follow-Through: Coordinate recurring leadership meetings, staff meetings, and cross-functional discussions; prepare agendas, capture decisions and action items, and track follow-ups to closure.
- Communication and Stakeholder Support: Serve as a professional point of contact for internal and external stakeholders, helping route requests, draft communications, and ensure timely responses on behalf of the managers.
- Document, Presentation, and Reporting Support: Prepare, proofread, format, and organize documents, presentations, reports, and briefing materials to support business reviews, decision-making, and leadership communications.
- Operational Coordination: Support team operations by maintaining distribution lists, shared files, records, office processes, travel arrangements, expense reporting, supply needs, and other administrative workflows.
- Expense Reporting and Reconciliation: Prepare, submit, track, and reconcile expense reports for the Principal Managers, ensuring accuracy, timely approvals, proper documentation, and compliance with company policies.
- Confidentiality and Professional Judgment: Handle sensitive information with discretion, maintain trust across leadership and team members, and apply sound judgment when prioritizing competing needs.
- Process Improvement and Efficiency: Identify opportunities to streamline administrative processes, improve meeting routines, organize information more effectively, and reduce friction for the managers and broader team.
- Team Connectivity and Engagement: Help coordinate recognition, onboarding logistics, team events, communications, and other activities that support a positive, organized, and connected team environment.

Responsibilities
- Performs a variety of administrative duties to support assigned leader, including managing the calendar and scheduling appointments, meetings, and conferences while prioritizing conflicting demands.
- Serves as primary point of contact for internal and external stakeholders, relaying messages, and facilitating communication.
- Arranges travel itineraries, including booking flights, accommodations, transportation, and visas.
- Prepares various templated weekly/monthly/quarterly reports for assigned leader and performs basic research as requested.
- Drafts documents and presentations of documents and presentations on behalf of the leader.
- Interfaces with suppliers and vendors regarding requests for quotes, purchase orders and invoicing.
- Files and manages expense reports, ensuring timely submission and accurate documentation of expenses incurred. Includes tracking reimbursement status and resolving any discrepancies or issues.
- Organizes and maintains files, records, and databases, ensuring confidentiality of sensitive information. Supports the assigned leader with various ad-hoc tasks and projects as needed.
- A material job duty of all positions within the Company is ensuring the protection of all its physical, financial and cybersecurity assets, and properly accessing and managing private customer data, proprietary information, confidential medical records, and other types of highly sensitive information and data with the highest standards of conduct and integrity.
Minimum Qualifications
- Two or more years of experience performing advanced administrative, secretarial, and clerical functions.
Preferred Qualifications
- Prior experience supporting senior leaders, managers, or multiple departments in a fast-paced corporate or utility environment.
- Strong proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Experience managing complex calendars, scheduling meetings, coordinating logistics, and handling competing priorities.
- Strong organizational skills with close attention to detail, accuracy, and follow-through.
- Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
- Excellent written and verbal communication skills, including the ability to interact with leaders, employees, vendors, and external stakeholders.
- Experience processing expense reports, purchase requests, invoices, travel arrangements, or other administrative workflows.
- Ability to work independently, anticipate needs, solve problems, and take initiative with minimal direction.
- High level of professionalism, adaptability, and sound judgment in a dynamic work environment.
Additional Information
- This position’s work mode is hybrid. The employee will report to an SCE facility for a set number of days with the option to work remotely on the remaining days. Unless otherwise noted, employees are required to work and reside in the state of California. Further details of this work mode will be discussed at the interview stage. The work mode can be changed based on business needs.
