We’re looking for an enthusiastic, compassionate, and dependable Veterinary Client Care Representative to join our team and help make every client feel welcomed, valued, and cared for.
As the first point of contact for our clients, you’ll set the tone for each visit. From welcoming families and coordinating appointments to answering questions and keeping communication flowing, you’ll help make sure our front desk—and our hospital—runs smoothly.

What Our Client Care Representatives Do
- Warmly greet clients and patients and facilitate efficient check-in and check-out
- Maintain an organized reception flow and help minimize client wait times
- Schedule and confirm appointments by phone, email, text, and online portals
- Answer incoming calls using professional telephone etiquette and established hospital protocols
- Route medical questions, urgent concerns, and other inquiries to the appropriate veterinary team member
- Monitor and respond to client communications throughout the day
- Create, update, and maintain accurate client and patient records in the practice management system
- Address client questions and concerns with compassion and professionalism, escalating issues when additional assistance is needed
- Process financial transactions accurately and follow established hospital procedures
- Maintain appropriate documentation in accordance with hospital policies
- Keep the reception area and workspace clean, organized, welcoming, and professional
- Collaborate with the veterinary team to support excellent patient care and a positive client experience

Physical & Environmental Requirements
This position requires the ability to frequently sit, stand, walk, bend, reach, and use hands and fingers to operate computers, telephones, payment systems, and other office equipment. Team members must be comfortable using computers and telephones for extended periods and communicating professionally with clients and coworkers in person and through phone, text, email, and other electronic systems.
The role may also require occasionally lifting, carrying, pushing, or pulling up to 50 pounds and moving throughout the hospital to assist clients, support patient care, and complete assigned responsibilities.
As with many veterinary hospital roles, the work environment may include exposure to animals, animal waste, cleaning chemicals, disinfectants, medications, noise, odors, allergens, potential zoonotic diseases, animal bites and scratches, sharps, and other veterinary occupational hazards. Following established safety practices is essential.
