Job Description

The Senior Administrative Assistant position will be a key member of the Seligman Investments team In Menlo Park. Seligman Investments are part of Columbia Threadneedle Investments.

Reporting directly to the Office Manager for Seligman Investments, this is a unique opportunity to join a growing organization with an entrepreneurial spirit integrated into a highly established and reputable investment firm/platform.

The working hours for this role will be 6:30am to 3pm PT.

Key Responsibilities:

- manage calendar and meeting prioritization. Schedule meetings and/or conference calls by interacting with internal partners and/or external clients/partners to coordinate calendars, accommodations, meeting materials, and supplies.
- Prepare expense reports, invoices, presentations, internal communication, travel arrangements, and other miscellaneous reports.
- Respond to ad hoc requests, manage tasks including filing, copying, responding to problems with printers, etc., and/or participate in projects representing the team (e.g. researching issues or questions about policies or practices, managing a conference call, etc.).
- Receive clients and guests for in person in office meetings.
- Coordinate/administer department programs (e.g. recognition, timekeeping, budgets, supply management, etc.), offsites, and special events or conferences.

Qualifications:

- 4-7 years of administrative assistant experience.
- Prior experience working at a Financial Services firm.
- Proficient with Microsoft Office – Outlook/Teams/PowerPoint/Excel/Word).
- Ability to multi-task, quickly change direction, and independently prioritize work in order to support multiple people. Generally proactive, resourceful and solution-oriented mindset.
- Strong written and verbal communication skills.
- Ability to anticipate needs and make independent judgments given limited availability of leader.

Preferred:

- Bachelors degree or equivalent.
- Experience gained within a hedge fund, private equity firm, or comparable alternative investment environment.

Base Pay Salary

The estimated base salary for this role is $67,300- $82,300 per year. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role.
