Administrative Support Representative

Job Overview

We are seeking a detail-oriented, empathetic, and proactive Administrative Support Representative to join our property management team. In this role, you will serve as a primary point of contact for our tenants, managing daily incoming communications, facilitating maintenance requests, and supporting general operational workflows.

Key Responsibilities

Tenant Communication: Answer high-volume incoming phone calls and send prompt, professional follow-up emails to tenants regarding inquiries, account updates, and general property notices.

Maintenance Portal Oversight: Monitor, log, and process incoming tenant repair requests through our online maintenance portal.

Vendor & Work Order Coordination: Route maintenance requests to the appropriate vendors or on-site technicians, ensuring work orders are tracked and resolved in a timely manner.

Tenant Relations & Advocacy: Communicate with tenants empathetically when handling maintenance issues or concerns, ensuring they feel heard, valued, and supported.

Administrative Support: Maintain accurate tenant records, assist with basic administrative paperwork, update electronic files, and support the broader operations team with daily tasks.

Qualifications & Skills

Computer Proficiency: Intermediate computer skills required, including experience with Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn property management software/portals quickly.

Customer Service Mindset: Exceptional interpersonal and verbal/written communication skills, with a high degree of empathy and patience.

Organization & Detail: Strong organizational skills with the ability to prioritize daily task queues and multi-task in a fast-paced environment.

Problem-Solving Ability: A proactive attitude toward troubleshooting daily operational challenges.

Preferred Qualifications (Pluses)

Interest in Real Estate / Property Management: A genuine curiosity or desire to build a career in the real estate, housing, or property management field.

Mechanical / Building Systems Aptitude: An interest in or basic understanding of the "mechanical side" of property operations (e.g., HVAC, plumbing, general building maintenance), helping you better understand tenant requests and communicate effectively with vendors.
