Job Title: Property Manager Job Description
The Property Manager oversees the day-to-day operations and long-term performance of an office building or portfolio, with a strong focus on medical office properties. This role provides leadership to the property team, delivers exceptional customer service to tenants, and ensures all aspects of budgeting, financial reporting, lease administration, project management, and building operations meet client standards. The Property Manager serves as the primary professional responsible for client and tenant satisfaction, while driving value through strategic enhancements and sound financial and operational management.
Responsibilities
- Provide clear leadership to the property team and ensure outstanding customer service to tenants and clients across an office building or portfolio.
- Regularly communicate with senior leadership on significant operating issues, including client and tenant concerns, and provide timely updates and recommendations.
- Assist in preparing annual operating budgets and supporting documentation, including explanatory notes and assumptions.
- Review and analyze property financial statements and reports, including occupancy rates and lease expiration schedules, to project future financial positions and budget requirements.
- Prepare and review monthly, quarterly, and annual financial reports for clients in accordance with management services agreements.
- Inspect properties and building equipment regularly to assess service needs and maintenance requirements.
- Recommend, justify, develop, and coordinate projects aimed at enhancing building value, including capital improvements and tenant improvement projects.
- Collaborate with engineering and maintenance teams to plan and facilitate repairs, renovations, and ongoing building operations.
- Obtain and evaluate bids from outside contractors, following established guidelines, to ensure cost-effective, high-quality services.
- Manage construction projects such as tenant improvements, restroom renovations, and major repair and maintenance work, reviewing construction specifications and plans and engaging relevant stakeholders.
- Support the brokerage team in reviewing lease proposals and lease language to ensure operational and financial alignment.
- Oversee the lease administration process, including reviewing lease proposals, coordinating tenant construction, and preparing lease abstracts.
- Maintain detailed knowledge of lease agreements and ensure compliance from both accounting and operations perspectives.
- Act as a primary or secondary point of contact for tenant service requests and proactively meet with tenant representatives on a scheduled basis to build strong tenant relationships.
- Work closely with accounting services to manage property accounting processes, direct on-site bookkeeping, and oversee rent and other receivables collection.
- Review account aging reports to monitor collection status and outstanding balances, and evaluate collection policies and procedures for effectiveness.
- Submit delinquent tenant accounts to attorneys or agencies for collection with client approval and assist with tenant evictions in compliance with court orders and client instructions.
- Prepare and process adjustments to tenant billing, demonstrating a strong understanding of CPI increases, CAM reconciliations, escalations, recoveries, and special charges.
- Competitively bid, negotiate, and prepare service contracts to ensure high-quality, cost-effective building services, and act as the primary contact for service contractors and vendors.
- Communicate regularly with the property team to share information, provide guidance, and support effective tenant service delivery.
- Inspect all properties on a regular basis to confirm that building operations align with client standards, procedures, and performance expectations.
- Establish, communicate, and manage the tenant move-in and move-out process to minimize disruption to existing tenants and maintain smooth transitions.
- Ensure appropriate insurance requirements are in place and maintained for all properties in the portfolio.
- Promote a culture of strategic thinking, problem solving, and continuous improvement in building operations, tenant relations, and financial performance.
Essential Skills
- 5–7 years of commercial real estate or property management experience, including budget preparation, financial reporting, building systems knowledge, and lease documentation and administration.
- Experience managing medical office buildings or similar commercial office properties.
- Strong budgeting and financial management skills, including preparation and analysis of property financial statements and client reports.
- Proficiency in property management, leasing, and customer service within a commercial real estate environment.
- Ability to read, analyze, and interpret legal and lease documents, claims of lien, business periodicals, professional journals, technical procedures, and government regulations.
- Strong written communication skills with the ability to produce clear reports, business correspondence, and procedure manuals.
- Effective presentation skills to communicate information to senior management, clients, tenants, vendors, peers, and external stakeholders.
- Ability to calculate and interpret figures and amounts such as discounts, interest, commissions, prorations, percentages, basic rent, parking fees, and late fees.
- Proficiency in applying mathematical concepts such as fractions, percentages, ratios, and proportions to practical property management situations.
- Ability to analyze, interpret, and explain financial statements and calculate dollar and percentage variances.
- Strong financial and accounting acumen, including a clear understanding of cash and accrual accounting procedures.
- Demonstrated problem-solving skills with the ability to define issues, collect data, establish facts, and draw valid conclusions.
- Ability to solve practical problems and manage a variety of concrete variables in situations with limited standardization.
- Ability to interpret instructions presented in written, oral, diagram, or schedule form.
- Strategic thinking skills with a focus on practical implementation and execution of property and portfolio strategies.
- Project management experience, particularly in tenant improvements, renovations, and capital projects.
- Strong tenant relations skills, including proactive engagement and conflict resolution.
- Ability to manage administrative support functions and coordinate multiple stakeholders and service providers.
- Requirement to obtain the appropriate real estate license within the relevant jurisdiction, such as a salesperson or property management license.
Additional Skills & Qualifications
- Associate or bachelor’s degree is required, preferably in Finance, Accounting, Business, or a related field.
- A degree in Finance or Accounting is preferred for this role due to the level of financial reporting and analysis required.
- An advanced degree is considered a plus and may support growth into broader portfolio or leadership responsibilities.
- Experience with financial reporting, budgeting, and forecasting for commercial real estate assets.
- Knowledge of building systems and operations, including coordination with engineering and maintenance teams.
- Experience with lease documentation, lease abstracts, and lease administration processes.
- Background in project management for construction, tenant improvements, and capital enhancement projects.
- Experience in customer service and tenant-facing roles within a professional office or medical office environment.
- Ability to competitively bid, negotiate, and manage vendor and service contracts.
- Comfort working with attorneys and collection agencies on delinquent accounts and evictions, in alignment with legal and client requirements.
- Strong organizational skills and attention to detail in managing multiple properties, projects, and deadlines.
- Ability to work both independently and collaboratively within a property team and broader regional leadership structure.
Work Environment
This role is based in Florida, with a preference for Tampa, followed by Orlando and the broader South Florida region. The typical work schedule is a full-time, daytime shift, generally between 8:00 a.m. and 5:00 p.m. or 8:30 a.m. and 5:30 p.m., with some flexibility as needed to support building operations and tenant needs. The position involves working in professional office and medical office building environments, collaborating closely with engineering, maintenance, accounting, brokerage, and vendor teams. Candidates are responsible for their own employee parking arrangements. Interviews may be conducted virtually or in person, depending on location. This is a Contract position based out of Tampa, FL.
Pay and Benefits
The pay range for this position is $35.00 - $35.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
