Position Summary

Lumina is seeking a thoughtful, highly organized Business Operations & Project Manager to work directly with our founder and help keep priorities moving across the business. You will turn goals into clear, actionable plans, maintain accurate project and CRM systems, coordinate cross-functional work, and follow through with team members to ensure projects are completed properly and on time.

This role connects multiple areas of the company, including sales, property operations, new property launches, revenue management, and bookkeeping. The ideal candidate is precise, dependable, and methodical, with the patience to work through details and maintain consistently high standards. You should be comfortable following established processes, thoughtfully evaluating information, and using sound judgment to move work forward while protecting the quality and accuracy of the final result.

What You’ll Do

- Turn business priorities into actionable project plans with clear owners, deadlines, dependencies, and completion standards
- Manage selected projects from initial planning through successful delivery
- Run focused team check-ins, follow up on commitments, and professionally hold team members accountable to agreed deadlines
- Identify routine blockers, resolve issues when possible, and escalate risks early with context and recommended next steps
- Maintain accurate CRM pipelines, lead records, follow-up tasks, and internal handoffs
- Identify stalled opportunities and ensure the appropriate team member takes action
- Coordinate timelines and checklists for property onboarding, new initiatives, partnerships, and internal improvements
- Track outstanding operational issues to ensure they are assigned, addressed, and fully resolved
- Coordinate reporting deadlines and gather required information for revenue management and bookkeeping workflows
- Follow up with specialists and confirm required internal reviews are completed before deliverables are finalized
- Improve project boards, build practical standard operating procedures, and maintain recurring workflows
- Identify opportunities to reduce avoidable manual work and improve operational efficiency
- Provide the founder with concise updates on completed work, potential risks, outstanding priorities, and decisions requiring attention
- Ensure established workflows are followed and identify process gaps or bottlenecks
- Verify that work is complete and accurate before closing tasks or handing them off
- Coordinate cross-functional handoffs between Sales, Owner Relations, Operations, and other teams

Required Qualifications

- At least three years of relevant experience in operations, project management, or a role with substantial responsibility for execution
- Proven ability to manage multiple priorities and bring projects through to completion
- Strong experience using CRM systems, project management platforms, spreadsheets, and remote collaboration tools
- Excellent written and verbal English communication skills
- Confidence professionally following up with colleagues and holding others accountable to agreed commitments
- Strong judgment and the ability to determine when to act independently, ask for clarification, or escalate an issue
- Strong attention to detail and a consistent habit of checking work for accuracy and completion
- Comfortable working in a startup environment where priorities may evolve and processes are still being developed
- High level of ownership with the ability to identify gaps and move work forward without waiting for detailed direction
- Detail-oriented and execution-focused, with a natural ability to close loops rather than simply track tasks

Preferred Qualifications

- Experience in short-term rentals, vacation rental management, hospitality, or property management
- Familiarity with property management software such as Guesty, Hostaway, or a similar platform
- Understanding of property onboarding, booking workflows, owner reporting, and basic revenue management metrics
- Experience improving workflows through automation and AI tools while verifying the accuracy of the output

Compensation, Benefits & More

Compensation: $15.00 to $30.00 per hour
