Purpose:
We are currently recruiting for a Senior Facility Assistant in joining an experienced Facilities team with over 50 years of combined workplace operations expertise. This is a full-time position based in Calgary, Alberta.
This role will require the ability to maintain flexibility and thrive in a fast-paced environment with changing priorities, proficient use of data entry / retrieval and perform physical work activities with minimal supervision.
The successful candidate will be required to perform hands-on workplace, and facilities support activities such as assisting with office moves, furniture rearrangements, workstations and space planning when relocating staff personnel throughout the office, as well as assisting with a variety of administrative and general facilities responsibilities as required. to support the team's day-to-day functions including, but not limited to the following.
Responsibilities:
- Travel between the two Calgary office locations (approximate 4-minute drive apart), based on business needs and daily operational requirements, to complete assigned tasks and ensure on-site support.
- Coordinate and follow up on repairs, maintenance requests and service calls.
- Support office furniture and ergonomic equipment requests, including desk chair replacements and installation &/or removal of sit-stand workstations in collaboration with the Health and Safety team.
- Meeting / conference room setups and general office preparation for staff and client events.
- Assist with receiving and coordinating deliveries, shipments and courier services.
- Conduct regular office floor, common area &/or parking area walks to identify potential office safety hazards, maintenance issues and housekeeping concerns to maintain a safe, healthy and clean work environment for all staff.
- Update and install nameplates, clean whiteboards, and ensure shared workspace remains presentable and functional.
- Assist with ordering and maintenance of office and PPE supplies.
- Assist with access cards and parking allocations.
- Maintain accurate records and documentation of office asset inventory.
- Support office projects, events and company – workplace initiatives.
- Support kitchen upkeep and maintenance, ensuring common areas remain clean, organized, and fully stocked. Load and unload dishwashers and kitchen supplies as needed.
- Assist with the distribution of fruit, snacks, and other employee amenities to office kitchens.
- Restock printer / copier stations with paper and other office supplies.
- Manage and distribute desk keys for employees, including key retrieval and inventory tracking.
- Provide additional team support to ensure adequate Facilities and reception coverage during scheduled vacations &/or unforeseen personal absences of existing team members.
What you will bring:
Technical and Industry Experience:
- Valid Class 5 driver’s license and reliable transportation with ability to travel independent between Calgary office locations throughout the workday.
- Basic computer skills, including Microsoft Office.
- Strong organizational and time-management skills (ability to prioritize multiple requests).
- Strong customer service orientation with a proactive approach to supporting employees and visitors.
- Ability to identify issues, exercise sound judgment, and proactively resolve workplace operational concerns.
- Excellent communication and interpersonal skills / ability to work independently while also being part of a strong and close-knit team, work professionally with Worley staff, visitors, vendors and property management.
- Ability to perform physical work activities, including lifting up to 50 lbs, bending, reaching, climbing step stools/ladders, moving office furniture and equipment, and standing/walking for extended periods.
- May be required to occasionally work outside of normal working hours.
Education – Qualifications, Accreditation, Training:
Required:
- Secondary school education &/or equivalent of 2+ years relevant work experience in property management, facilities, office services, customer service or a related field is an asset.
