Job Title: Office Manager Job Description
The Office Manager role supports Corporate Operations and ensures the smooth, day-to-day functioning of a busy office. This non-exempt, temp-to-hire position suits a highly organized, proactive, and solutions-oriented professional who can manage multiple priorities, coordinate vendors, and drive projects to completion while maintaining a welcoming and efficient workplace.
Responsibilities
- Serve as the primary point of contact for all office-related inquiries, providing timely support to employees and managers regarding workplace operations, policies, and logistics.
- Oversee daily office operations to maintain a functional, organized, and welcoming environment for all staff and visitors.
- Coordinate with external vendors and service providers for facilities, supplies, maintenance, and office services, ensuring high-quality and reliable support.
- Manage new hire office onboarding logistics, including workspace setup, equipment coordination, supplies, access requests, and overall readiness prior to start dates.
- Support managers by addressing office-related questions and assisting with ad hoc operational needs and requests.
- Assist with planning and coordination of office meetings, team events, lunches, and snacks, ensuring timely and accurate execution of all details.
- Partner with the HR and Accounting teams to process invoices in Yardi, including GL coding, invoice entry, and submission for approval, with training provided as needed.
- Maintain organized office documentation, invoices, and operational records to support accurate tracking and reporting.
- Assist Accounting and Finance teams with administrative support and special projects as needed to help meet departmental goals.
- Lead and coordinate office renovation and facilities-related projects, collaborating with executives, contractors, and vendors to ensure timelines, budgets, and expectations are met.
- Track project milestones, proactively identify potential issues, and provide recommendations and solutions to keep initiatives moving forward.
- Manage competing priorities and high expectations while maintaining exceptional attention to detail and follow-through on all tasks.
- Support Corporate Operations initiatives and contribute to process improvements that enhance workplace efficiency and organization.
- Identify opportunities to improve office processes, organization, and the overall employee experience, and implement changes where appropriate.
Essential Skills
- Proven experience in an office coordination, administrative, or operations support role.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent communication and customer-service skills, with an approachable and solutions-oriented mindset.
- Experience coordinating vendors and managing office logistics.
- Familiarity with accounting or invoicing systems, with Yardi experience preferred.
- Detail-oriented approach with strong follow-through and accuracy, especially related to invoicing and data entry.
- Proficiency in Microsoft Office or similar productivity tools.
- Ability to work effectively with a wide range of personalities and stakeholders.
- Capability to manage office projects, provide informed recommendations, and take ownership of office operations.

Work Environment
This role is 100% onsite and requires a consistent presence in the office. The Office Manager works closely with Corporate Operations, HR, Accounting, Finance, executives, vendors, and contractors in a fast-paced, collaborative environment. The position involves managing office projects, renovations, and daily operations while interacting with many different personalities. The work setting expects someone who can wear multiple hats, take full ownership of office operations, and provide thoughtful recommendations to improve the workplace. Standard office technologies and productivity tools, including Microsoft Office and accounting or invoicing systems such as Yardi, are used regularly.

This is a Contract to Hire position based out of Baltimore, MD.
Pay and Benefits
The pay range for this position is $26.44 - $36.05/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
