What You'll Do

The Specialist - Technical, Facilities & Workplace Operations will ensure the safe, reliable, efficient and technology-enabled operation of office facilities and associated infrastructure. The role combines hands-on technical ownership with strong governance across critical equipment, maintenance, safety, access control, civil works, vendors, budgets, analytics and sustainability. The individual should be comfortable using AI-enabled tools, automation, dashboards and digital facilities-management platforms to improve reliability, productivity, cost control and decision-making.

WHAT YOU'LL DO

Technical Facilities, Critical Infrastructure & Assets

- Own reliable operation and upkeep of Mechanical, Electrical, Plumbing and Civil infrastructure, including HVAC, electrical distribution, UPS/LT panels, fire systems, water systems, BMS and other critical equipment.
- Develop and monitor preventive, predictive and condition-based maintenance; review equipment health, breakdown trends, logs and checklists to identify risks and prevent failures.
- Coordinate shutdowns, testing, repairs and upgrades with OEMs, vendors, building management and internal stakeholders; maintain critical spares and contingency arrangements.
- Conduct technical audits and asset-condition reviews; maintain an accurate asset register covering specifications, lifecycle, AMC/warranty, maintenance history and replacement plans.

Projects, Civil Works & Infrastructure

- Plan and supervise civil works, repairs, refurbishments, fit-outs and infrastructure improvements; prepare scopes, specifications, BOQs and cost estimates.
- Review vendor proposals from technical and commercial perspectives and monitor project timelines, quality, safety, budgets, compliance and handover.
- Identify modernization opportunities that improve reliability, energy efficiency, employee experience and long-term asset performance.

Safety, Fire, Compliance & Business Continuity

- Ensure compliance with applicable fire, life-safety, electrical, environmental and statutory requirements; maintain licenses, records, certificates and testing documentation.
- Conduct safety inspections, ensure closure of observations, coordinate drills and emergency preparedness, and maintain readiness of firefighting and life-safety systems.
- Support incident investigation and root-cause analysis; track corrective/preventive actions and maintain contingency plans for power, HVAC, flooding and other critical failures.

Budgeting, Spend & Financial Governance

- Prepare and maintain annual OPEX and CAPEX budgets; develop forecasts and track committed spend, actuals, accruals and forecast-to-complete.
- Analyse variances, savings opportunities and expected overruns; maintain financial dashboards covering budgets, vendors, utilities, projects and key operating costs.
- Track PRs, POs, invoices and vendor payments, ensure correct cost-centre allocation and maintain complete supporting documentation.

Technology, AI, Data & Dashboards

- Be hands-on with contemporary technology and Generative AI, applying it to maintenance analysis, reporting, documentation, vendor/spend analysis, process automation and operational decision-making.
- Use and help improve digital facilities tools such as BMS, IoT monitoring, workflow systems and ticketing platforms; work with IT/Information Security on appropriate governance.
- Develop and maintain operational dashboards/MIS using Excel, Power BI or equivalent tools; track uptime, PPM compliance, breakdowns, ticket ageing, safety, utilities, spend, vendor SLAs, projects and access-control compliance.
- Analyse trends and turn operational data into actionable insights, moving the function toward predictive and data-led management.

Access Control, Vendors, Sustainability & Stakeholders

- Oversee physical access-control operations and access cards; maintain audit-ready records and conduct periodic reconciliations/reviews with Security, HR, IT and relevant teams, including timely removal of dormant or expired access.
- Manage OEMs, AMCs, contractors and facilities partners; define and monitor SLAs/KPIs, validate service delivery and billing, and support technical evaluations, renewals and corrective actions.
- Monitor energy, water, indoor air quality and other environmental indicators; use BMS/sensors/analytics to identify abnormal consumption and efficiency opportunities, and support sustainability initiatives.
- Partner with building management, landlords and internal teams to provide a safe, reliable and high-quality workplace; communicate proactively on outages, maintenance, projects, risks and service interruptions.

Who You'll Work With

- Bachelor's / Master's degree in Electrical Engineering, Mechanical Engineering or a related technical discipline, with 6+ years of relevant experience in Technical Facilities Management, Engineering Services, Workplace Operations or Integrated Facilities Management.
- Strong hands-on understanding of MEP systems, critical equipment, preventive maintenance, asset lifecycle management, civil/fit-out works and statutory safety requirements.
- Experience managing technical vendors, OEMs and contractors, including SLA/KPI management, technical evaluation and commercial awareness.
- Demonstrated experience in budget preparation, financial tracking, PO/invoice management, cost control and CAPEX replacement planning.
- Strong working knowledge of Excel and dashboards; hands-on experience using Generative AI / AI productivity tools, with the ability to demonstrate practical workplace applications. Power BI or equivalent analytics experience is preferred.
- Ability to understand technical drawings, specifications, manuals, BOQs and vendor proposals; strong problem-solving and root-cause-analysis capability.
- Experience with access-control systems, access governance/reconciliation and audit-ready record keeping is preferred.
