Job Title: Mail & Print Services Assistant - Level 2 Job Description
The Mail & Print Services Assistant plays a key role in the processing, preparation, and delivery of mail, packages, and print materials across a building or campus. Working in an in-person environment within a client shipping center, this entry-level position focuses on handling incoming and outgoing shipments, taking passport photos, and ensuring that mail and packages are processed accurately, efficiently, and safely. The role requires standing for most of the day and occasional lifting up to 50 pounds. This is a 6month assignment with the possibility of extension and potential conversion to a full-time role. Typical work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.
Responsibilities
- Work within the client shipping center to manage daily mailroom operations for a building or campus.
- Process outgoing shipments using carriers such as FedEx, USPS, and UPS, ensuring correct service selection and timely dispatch.
- Use mailing systems and related software to prepare outbound shipments, apply appropriate postage, and track packages.
- Take passport photos in accordance with established guidelines and quality standards.
- Ensure all shipped packages are adequately protected against damage by using proper packaging materials and techniques.
- Confirm that all packages received are processed and shipped the same day when possible, or clearly communicate next-day delivery arrangements to consignees.
- Inspect incoming deliveries, approve or reject them based on established criteria, and check for contraband or prohibited items.
- Process shipment requests with vendors, coordinating logistics and advising package owners of shipping arrangements and status.
- Stock and maintain mail and postage supplies, ensuring that materials are readily available and organized.
- Record materials received and shipped using computer systems, maintaining accurate data entry and documentation.
- Support print and production needs by monitoring online production or copy requests and responding in a timely manner.
- Assist with conference room setup for client meetings, ensuring materials and equipment are in place as requested.
- Answer telephones in a professional manner, direct calls appropriately, and take accurate messages.
- Respond to common inquiries or complaints from clients, co-workers, and supervisors, providing clear and courteous communication.
- Safeguard deliveries from damage and tampering throughout the handling and storage process.
- Apply basic financial calculations, such as simple percentages, when required for postage or shipping-related tasks.
- Follow established procedures and company policies to meet deadlines and achieve expected results, making decisions within defined guidelines.
- Participate in required health, safety, and environmental (HSE) training and activities, including incident investigations, audits, and assessments.
- Identify and report any condition that could result in an accident or injury, and stop work if necessary to maintain a safe environment.
- Understand and follow safe work practices and procedures, including potential hazards associated with the work environment.
- Wear required personal protective equipment (PPE) at all times when performing applicable tasks.
- Use appropriate material handling techniques when lifting or moving items, including packages up to 50 pounds.
- Operate warehouse equipment and machinery, such as pallet jacks or manlifts, only when properly trained, qualified, and authorized.
- Contribute to a warm, engaging, and customer-focused atmosphere when interacting with building occupants and visitors.
Essential Skills
- High school diploma or GED equivalent.
- True entry-level role with no experience required; however, 12 years of related work experience in warehouse, shipping, and receiving is strongly preferred.
- Ability to comprehend and interpret instructions, short correspondence, and memos, and to ask clarifying questions to ensure understanding.
- Ability to write routine reports and correspondence with clear and accurate information.
- Ability to respond professionally to common inquiries or complaints from clients, co-workers, and supervisors.
- Ability to effectively present information to internal departments and large groups of employees when needed.
- Dependable, hardworking, and self-starter mindset with strong follow-through on assigned tasks.
- Strong verbal and written communication skills, with the ability to engage comfortably with new people.
- Warm and engaging demeanor, with the ability to assess circumstances, empathize, and offer help.
- Basic knowledge of financial terms and principles, including the ability to calculate simple figures such as percentages.
- Ability to understand and carry out general instructions in standard situations and to solve problems in routine contexts.
- Basic analytical skills to evaluate situations and select appropriate actions.
- Intermediate proficiency with Microsoft Office Suite (such as Outlook, Word, and Excel).
- Ability to use handheld mobile technologies and applications for shipping, tracking, and communication.
- Ability to use computer systems to record materials received and shipped accurately.
- Physical ability to assist with warehouse operations, including standing for the majority of the day and lifting up to 50 pounds.
Additional Skills & Qualifications
- At least 1 year of experience as a notary or in a mailing role is preferred.
- Prior mailing or mailroom experience is highly desirable.
- Notary certification is a plus and may make a candidate stand out.
- Lithium battery certification is a strong asset for handling specialized shipments.
- Experience with data entry, filing, clerical tasks, sorting, and customer service is beneficial.
- Comfort engaging with a wide variety of people in a professional setting.
- Ability to make decisions with a general understanding of procedures and company policies, recognizing that errors in judgment may have short-term impact on co-workers and supervisors.
- Willingness to participate actively in safety and HSE programs and to follow all related policies and procedures.
Work Environment
This role is fully in-person and based in a client shipping center within a building or campus. The typical schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m., with a steady workflow focused on mailroom operations, shipping, and customer service. The position involves standing for most of the day and regularly handling packages, including lifting items up to 50 pounds, in a warehouse and office environment. You will use mailing systems, computer-based tracking tools, Microsoft Office Suite, handheld mobile technologies, and standard office equipment. Pay and Benefits
The pay range for this position is $19.00 - $20.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
