What this job involves:

As an Occupancy Planning and Management Analyst at JLL, you will play a key role in supporting the management of the client’s CAFM/IWMS systems, space and occupancy data, and reporting processes that drive informed real estate decisions across global portfolios. This role focuses on maintaining accurate space, employee, and organizational data while supporting occupancy planning initiatives through analytics, reporting, auditing, and drawing coordination. You will collaborate closely with occupancy planners, project managers, facilities teams, corporate real estate stakeholders, and CAD partners to ensure portfolio data integrity and compliance with established standards. Success in this role requires a strong understanding of floor plans, space management principles, and data governance practices, along with the ability to work effectively in a fast-paced and evolving environment. What your day-to-day will look like:

- Maintain accurate space, occupancy, employee, and organizational data within CAFM/IWMS database applications to support reporting, benchmarking, and portfolio management activities.
- Validate data readiness and perform regular quality assurance reviews, audits, and remediation tracking to ensure compliance with client standards and service level agreements.
- Coordinate drawing updates and support tasks with CAD and CAFM service vendors, including reviewing AutoCAD/Revit files, redlines, XREFs, layering standards, and room polylines.
- Support portfolio changes by processing additions or removals of buildings, floors, spaces, employees, and organizational hierarchy data within the CAFM/IWMS platform.
- Prepare, generate, and distribute recurring occupancy and space management reports, dashboards, and analytics related to vacancy, utilization, density, supply and demand, and cost metrics.
- Assist with ad-hoc reporting requests and provide data-driven insights that support occupancy planning and corporate real estate strategies.
- Perform ongoing maintenance and standardization of as-built AutoCAD/Revit floor plans and prepare drawings for publishing into CAFM/IWMS technology systems using BOMA and client standards.
- Manage user access across space management technology platforms and support application testing, issue resolution, and enhancement validation activities.

Required qualifications:

- Bachelor’s degree or diploma, preferably in Architecture, Interior Design, Facilities Management, or a related field with strong analytical and data management capabilities.
- 2–4 years of experience in occupancy planning, space management, CAFM/IWMS administration, or corporate real estate data management environments.
- Proficiency in AutoCAD and experience reviewing, editing, and maintaining architectural floor plans and drawing standards.
- Experience working with CAFM/IWMS database systems such as TRIRIGA, Archibus, Serraview, FM Systems, Manhattan Centerstone, or similar platforms.
- Advanced proficiency in Microsoft Excel and PowerPoint with experience creating reports, dashboards, and occupancy analytics.
- Strong understanding of space categorization standards such as BOMA, including circulation, egress, common, core, and amenity space classifications.
- Ability to interpret floor plans, manage large datasets, perform audits, and support end-to-end data management lifecycle activities.
- Excellent written and verbal communication skills with the ability to collaborate effectively across cultures, teams, and stakeholder groups.
- Strong organizational skills with the ability to manage competing priorities, adapt to changing business needs, and work independently in a deadline-driven environment.

Preferred qualifications:

- Experience supporting global corporate real estate portfolios and workplace planning initiatives.
- Familiarity with Revit and preparing drawings for integration into CAFM/IWMS systems.
- Knowledge of occupancy metrics, benchmarking methodologies, and workplace utilization reporting.
- Experience participating in data governance programs, quality assurance initiatives, and system enhancement testing.
- Ability to create 2D test fits and interpret hand-drawn sketches for workplace planning activities.
- Understanding of project management and facilities management coordination processes within corporate environments.
- Demonstrated ability to build strong relationships with internal and external stakeholders through a collaborative and service-oriented approach.
