What this job involves: The Facility Coordinator provides day-to-day facilities management and workplace operations support within the client environment. This role works closely with internal teams, vendors, property management, and client stakeholders to ensure efficient office operations, excellent customer service, and delivery of workplace services with minimal disruption to business activities. Responsibilities include supporting maintenance activities, vendor coordination, workspace support, reporting, and operational support while maintaining compliance with safety and service standards. This role may also provide coverage and support for mailroom operations, soft services, events, audio/visual needs, and invoice-related activities as needed.

What your day-to-day will look like:

- Provide general facilities support and continuous monitoring of office and facility operations, including inspections and issue resolution.
- Work within JLL and client CMMS systems to manage tickets, convert requests into trackable work orders, and ensure completion within established SLAs.
- Coordinate maintenance activities, vendor visits, and workplace services to ensure minimal disruption within the client environment.
- Support workspace setups, conference rooms, meetings, and special events as needed.
- Build strong working relationships with clients, landlords, vendors, and service providers to ensure service excellence and customer satisfaction.
- Assist with operational reporting, audits, purchasing activities, and budget-related tasks as requested by management.
- Provide backup coverage and support for mailroom operations, shipping/receiving activities, soft services coordination, audio/visual support, and invoice processing as needed.

Required Qualifications:

- High school diploma or equivalent required.
- 2+ years of experience in facilities management, property management, facility administration, or a related field.
- Experience using Microsoft Office applications and Computerized Maintenance Management Systems (CMMS).
- Strong organizational, communication, and customer service skills with the ability to multitask in a fast-paced environment.
- Ability to work independently and coordinate multiple priorities with attention to detail.
- Ability to support physical workplace activities including lifting up to 30 lbs., walking stairs, and handling workplace or shipping-related materials.

Preferred Qualifications:

- Experience supporting workplace services including conference rooms, events, vendor coordination, and mail services.
- Knowledge of commercial leases, contract documents, and building systems.
- Experience working within budget and time constraints.
- Industry experience within a corporate environment, third-party service provider, or consulting environment.
- Ability to provide executive summaries and communicate operational updates clearly to management and clients.
- Strong collaboration skills with vendors, facilities teams, and client stakeholders.
