Position Summary
MIRACORP, Inc. is seeking a highly organized, customer focused Program Management Specialist to provide office operations, records management, front office, security access, and programmatic administrative support to the National Nuclear Security Administration (NNSA).
Essential Duties & Responsibilities
- Monitor assigned and shared office equipment, including printers, copiers, and conference room systems, to ensure equipment remains operational.
- Coordinate equipment maintenance, repairs, technical assistance, and replacements with the appropriate support offices.
- Maintain adequate office supply inventories and coordinate replenishment and resolution of supply related issues.
- Coordinate, distribute, organize, and maintain electronic and hardcopy records using meta tagging and other approved records management practices.
- Establish and maintain office files, electronic databases, and structured data repositories in accordance with NNSA file storage standards and approved procedures.
- Develop and maintain telephone lists, distribution lists, shared calendars, eDOCS user lists, and other administrative resources.
- Create, edit, format, print, assemble, and distribute briefings, daily schedules, meeting minutes, reports, correspondence, meeting invitations, and supporting attachments.
- Provide intermediate to expert level assistance with Microsoft Word, PowerPoint, Excel, Project, SharePoint, Teams, eDOCS, and related business applications.
- Provide comprehensive administrative and front office support to DNS federal and contractor personnel.
- Respond promptly and professionally to in person, telephone, email, and electronic requests.
- Answer the DNS main telephone line, transfer calls, take accurate messages, and provide routine information when authorized.
- Support DNS Front Office main door coverage between 7:00 a.m. and 5:00 p.m. Eastern Time, as scheduled.
- Greet employees, visitors, vendors, and facilities personnel and ensure compliance with suite access and security procedures.
- Escort visitors, facilities personnel, and uncleared individuals within the DNS office footprint and other designated National Capital Region locations.
- Perform assigned daily suite opening and suite closing procedures in accordance with established security requirements.
- Maintain accurate access rosters for controlled doors within DNS office spaces, including the main suite, classified conference room, and Vault Type Room.
- Provide authorized access to secure rooms and immediately report access discrepancies or security concerns through the appropriate channels.
- Review, proofread, edit, and format correspondence and other official documents.
- Prepare briefing materials, presentation packages, binders, briefing books, reports, analytical tools, trackers, and summary documents.
- Collect, organize, validate, and summarize program information for reports, meetings, briefings, and management review.
- Track assignments, deadlines, action items, document reviews, and program deliverables through completion.
- Protect sensitive information and maintain confidentiality in accordance with applicable records management and security requirements.
- Perform other related program management and administrative support duties as assigned.
Qualifications
Minimum Education & Experience Requirements
- US Citizen
- Ability to obtain and maintain any required federal suitability determination or security clearance (e.g. L or Q clearances and TS/SCI access).
- Applicants must meet one of the following education and experience combinations:
Bachelor's degree from an accredited college or university and at least two years of relevant program management, project coordination, or administrative support experience; or
- Associate degree from an accredited college or university and at least four years of relevant program management, project coordination, or administrative support experience; or
- High school diploma or equivalent and at least six years of relevant program management, project coordination, or administrative support experience.
Preferred Experience Requirements
- Experience supporting NNSA, the Department of Energy, another federal agency, or a federal government contractor.
- Experience using eDOCS or a comparable electronic document and records management system.
- Experience working in a controlled access or secure federal office environment.
- Advanced proficiency with Microsoft Word, Excel, PowerPoint, Project, SharePoint, and Teams.
- Experience preparing executive briefings, reports, correspondence packages, analytical tools, and briefing books.
