Reporting Relationships
- Reports to the Director, Missionary Network Care and Support.
Essential Job Functions
- Organizes and manages professional tasking list for the Director, Missionary Support
- Serves as recording secretary for Director, Missionary Support during meetings, when requested, to document and distribute action items
- Gather data on Alliance Missionaries and prepare routine and special reports for the Director—Missionary Network Care and Support, and other involved LCMS staff.
- Communicate with missionaries, congregations, and individual contributors/supporters on the phone and via email.
- Serve on the Donor Care Line (respond to donor inquiries and channel them to the appropriate resource).
- Serves as liaison with Gift Processing Manager, when necessary, on calls/requests received from the Donor Care Line as it pertains to resolving issues with gift processing/data entry
- Supports Gift Planning, when necessary, on donor calls concerning beneficiary gifts to the LCMS (i.e. Wills, Trusts, IRA Distribution)
- Serves as back-up for the Donor Care Line.
- Serve as the secondary in-house point of contact for all new Together In Mission congregations. Produce TIM Packets/Letters for mailing.
- Supports program leadership in developing and managing projects.
- Ensures timely and accurate submission of reimbursements, check requests, and purchasing card documentation for approval processing.
- Assists with formatting of curriculum, manuals, and other materials related to the Network Supported Model.
- Assists with administrative tasks when requested for the wider Missionary Support Unit in consultation with Director,
- Serves as point of contact to facilitate communication from Missionary Support to Print Services and Mission Central.
- Serves as point of contact for receipt and internal distribution of Missionary Newsletters via mission.letters
- Coordinate the LCMS response to requests for mission speakers/presenters from congregations and organizations.
- Reviews Mission Centrals daily batches and adds new Pledges as needed.
- Adds Pledges to the CRM. Drafts and mails appropriate acknowledgement/thank you letters.
- Responsible for credit card donation processing. Sends Welcome Letters and notifies Missionaries of new Sending Partner.
- Distributes Missionary Newsletters from mission.letters to internal recipients. Requires editing, archiving and maintaining log
- Notifies Giving Club Administrator and Gift Processing Manager when donor records should be updated for accuracy and consistency
- Other duties as assigned.
Education and Experience
- Active member of an LCMS congregation, preferred.
- Associates degree required; bachelors degree or equivalent work experience is preferred.
- Minimum five years experience in an administrative, coordinating or program management environment, preferably in a nonprofit fundraising/advancement context.
Competencies (Knowledge, Skills and Abilities)
- Commitment to high standards of ethics, customer care, and professional integrity.
- Above-average familiarity with the LCMS congregation structure and the Synod (corporate) organization.
- Familiarity with accounting terminology and practices.
- Demonstrates interpersonal skills in developing rapport with external and internal partners and internal organizational staff (primarily missionaries and program managers).
- An organized, self-starter with a successful track record of work independently, managing multiple projects, and meeting deadlines.
- Computer proficient; intermediate to advance knowledge/skills in the use of current administrative software, (e.g., Microsoft Office and Windows) applications, reporting tools, and with a preference for experience using Salesforce CRM.
- Demonstrable skills in oral and written communications are required, some knowledge of cross-cultural differences, and formal training in customer service is a plus.
