Reports To: Lorena Recinos

Work Schedule:

Monday thru Friday 8:00 a.m. to 4:30 p.m.

POSITION SUMMARY

Perform routine clerical and administrative functions such as drafting correspondence, creating spreadsheets, scheduling meetings, organizing, and maintaining paper and electronic files, operating telephones, using Microsoft Office and other computer systems, operating various office machines, and filing.

Essential Functions Statement(s)

- Assist Personal Trust officers in account administration including proofreading, transcribing handwritten information, composing correspondence in Word and creating Excel spreadsheets; researching and responding to customer inquiries; scheduling meetings; and scanning/indexing files and other customer-related documents to Synergy.
- Assist Personal Trust officers in account administration by performing the following functions relative to the trust accounting system: complete documentation and open new accounts, complete discretionary distribution forms, request checks, wire transfers, ACH transfers, and intra system transfers; queue deposits, maintain accounts, IP’s and remittances; print statements and tax worksheets as needed; and research account information as needed.
- Support life insurance trusts administration as follows: Send deposit due notices and Crummey letters and pay insurance premiums and maintain the spreadsheet tracking same. Request life insurance illustrations and file life insurance claims.
- Prepare annual court and cemetery association accountings, submit to the appropriate parties, and follow up for approval/acceptance.
- Back up other Personal Trust Administrators as needed including serving as Secretary for Trust Administrative Committee, Trust Investment Committee and Directors Trust Committee.
- Transmit information or documents to customers using computers, mail, or facsimile machines.
