This Administrative Assistant opportunity supports a high-performing legal and corporate affairs organization by providing complex calendar management, administrative coordination, and team support. The ideal candidate is highly organized, customer-focused, and skilled at managing competing priorities in a fast-paced corporate environment. This role requires strong communication skills, professionalism, discretion when handling confidential information, and the ability to build effective working relationships across a broad group of stakeholders. Responsibilities · Manage complex calendars across multiple time zones using Outlook and coordinate scheduling for meetings with internal and external stakeholders. · Proactively prioritize scheduling requests, resolve conflicts, and make calendar decisions based on changing business needs and priorities. · Ensure meeting logistics are accurate and complete, including invitations, agendas, conference details, and room reservations. · Draft, review, and send professional email communications on behalf of leaders and team members. · Coordinate domestic and international travel arrangements and manage related itineraries. · Prepare, submit, and track expense reports while ensuring compliance with company policies. · Process expense approvals and assist team members with expense-related inquiries. · Support team operations by coordinating all-hands meetings, offsites, morale events, and other departmental activities. · Manage event logistics including room reservations, catering, materials, and attendee communications. · Assist with procurement requests for office supplies, equipment, reference materials, and facilities-related needs. · Help maintain an organized, professional, and welcoming team environment. · Support space management activities and assist with workplace coordination efforts. · Create, edit, and format PowerPoint presentations and other business documents as needed. · Maintain confidentiality and exercise sound judgment when handling sensitive and privileged information. · Partner effectively with stakeholders across multiple business functions and organizational levels. · Ensure administrative processes and operational procedures are followed accurately and consistently. · Support additional administrative projects and business initiatives as assigned. Essential Skills · 2-4 years of administrative support, office coordination, customer service, or related professional experience. · Strong customer service skills with the ability to build positive relationships and provide exceptional support. · Excellent written and verbal communication skills, including professional email correspondence. · Experience managing calendars, scheduling meetings, and coordinating activities across multiple stakeholders. · Strong organizational and time management skills with the ability to manage competing priorities. · Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams. · Strong attention to detail and ability to maintain accuracy in a fast-paced environment. · Ability to work independently while effectively collaborating with team members and business partners. · Experience handling sensitive and confidential information with professionalism and discretion. · Strong problem-solving skills and ability to adapt to changing priorities. · Professional demeanor with a reliable, proactive, and service-oriented approach. · Bachelor's degree preferred but not required. Work Environment This position is 100% onsite and supports a collaborative legal and corporate affairs team. The schedule is Monday through Friday, 40 hours per week, with occasional overtime opportunities that require prior manager approval. The role consists primarily of calendar management (approximately 80%), along with team support (10%) and participation in team meetings and administrative activities (10%). Pay and Benefits
The pay range for this position is $28.00 - $28.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
