Job Title: Workplace Experience Coordinator - Level 1 Job Description
The Workplace Experience Coordinator - Level 1 delivers a world-class customer service experience to employees and visitors in a designated building. This in-person role serves as the first point of contact at the facility, ensuring a welcoming environment, coordinating workplace services, and supporting day-to-day office operations. The position follows established procedures to solve straightforward problems and plays a key role in maintaining a professional, safe, and well-organized workplace.
Responsibilities
- Serve as the first point of contact for everyone entering the facility, greeting employees, guests, and vendors with a friendly and welcoming demeanor.
- Issue visitor and parking passes and follow established security protocols for all individuals entering the building.
- Answer incoming telephone calls in a professional manner and make a positive first impression for the workplace.
- Create presentations and deliver information to groups of various sizes as needed.
- Arrange and confirm recreational, dining, and business activities on behalf of internal requestors.
- Manage janitorial and maintenance work orders, ensuring timely coordination and completion of requests.
- Coordinate and execute workplace services, including mail handling, office supply services, and onboarding support for new employees.
- Acknowledge inquiries or complaints from employees, guests, and co-workers and provide appropriate solutions in a professional, customer servicedriven manner.
- Organize and manage on-site events, including securing event space, arranging room setup and tear down, and coordinating the delivery of supplies.
- Follow property-specific security and emergency procedures and promptly notify appropriate parties to help ensure the safety of all individuals in the building.
- Coordinate with external vendors who provide services or goods to the workplace, ensuring smooth delivery and service execution.
- Explain detailed or complex information clearly within the team and follow specific directions provided by the manager.
- Work within clearly defined duties and methods, using existing procedures to solve straightforward problems with limited discretion.
- Support hospitality set-ups, including meeting and event arrangements, and act as a back-up receptionist when needed.
Essential Skills
- High School Diploma or GED.
- 02 years of job-related experience in a customer service, administrative support, or similar environment.
- Ability to follow basic work routines and standards and apply them consistently in daily tasks.
- Strong communication skills to exchange straightforward information clearly and professionally, both in person and over the phone.
- Working knowledge of Microsoft Office products, including Word, Excel, Outlook, and similar tools.
- Strong organizational skills with the ability to manage multiple tasks and priorities in a structured environment.
- An inquisitive mindset with a willingness to learn and follow established procedures.
- Customer service orientation with the ability to respond professionally to inquiries and complaints.
Additional Skills & Qualifications
- Experience providing administrative support in an office or soft services environment.
- Demonstrated communication and people skills, including the ability to interact effectively with employees, guests, and vendors.
- Experience coordinating events, meetings, or hospitality set-ups.
- Comfort presenting information to small or larger groups.
- Familiarity with handling maintenance or janitorial work orders.
- Ability to work within clearly defined processes while maintaining attention to detail.
Work Environment
This is a full-time, in-person role based in a professional office facility in Houston, with standard hours of 8:00 a.m. to 5:00 p.m., Monday through Friday. The position sits within an office and soft services environment focused on workplace experience and hospitality. You will work on-site among employees, guests, and vendors, regularly interacting at reception and throughout the facility. The role uses standard office technology and software, including Microsoft Word, Excel, Outlook, and related tools. Work involves coordinating events, managing office services, and supporting reception and hospitality set-ups in a structured setting with defined procedures and security and emergency protocols. The environment emphasizes professional conduct, strong customer service, and collaboration with internal teams and external service providers.

Pay and Benefits
The pay range for this position is $10.00 - $10.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
