Job Title: Patient Services Coordinator Job Description
The Patient Services Coordinator (Patient Services Specialist Journey Level) performs all core front-office functions with a high level of independence and efficiency. This role manages patient registration, appointment scheduling for routine and basic healthcare services, and a variety of clerical duties. As an engaged member of the care team, the coordinator supports patients and their families with compassionate service, clear communication, and strong attention to detail while maintaining accurate records and supporting smooth clinic operations.
Responsibilities
- Perform all core front-office functions, including patient registration, check-in, copay collection, and check-out, ensuring accurate demographic and insurance information is collected and updated.
- Schedule, confirm, and modify routine and basic healthcare appointments in line with clinic standards and provider availability, including supporting procedural or surgery scheduling as needed.
- Deliver high-quality customer service by addressing patient needs, resolving concerns when possible, and escalating issues appropriately while maintaining a positive and professional demeanor.
- Accurately enter, update, and document information in electronic medical record (EMR) systems to ensure timely and complete patient records.
- Operate and manage multi-line phone systems to route calls, take messages, and respond to inquiries efficiently and courteously.
- Serve as the first point of contact for patients, providing courteous and professional communication in person and over the phone to support a welcoming clinic environment.
- Complete a variety of administrative and clerical tasks, including scanning, filing, managing the wait list, and performing data entry to support daily clinic operations.
- Assist with monitoring appointment availability and optimizing scheduling templates using EMR tools and established workflows.
- Independently resolve routine patient and scheduling issues using established clinic standards and procedures, escalating complex issues to appropriate personnel when needed.
- Support the onboarding of new team members by modeling workflows, demonstrating best practices, and sharing knowledge of front-office processes.
Essential Skills
- At least 1 year of experience in a medical office or related healthcare environment.
- Experience with patient registration and patient scheduling in a healthcare setting.
- Hands-on experience working with electronic medical record (EMR) systems.
- Strong communication skills, with the ability to communicate clearly and professionally with patients, families, and healthcare team members in person, over the phone, and in writing.
- Ability and willingness to learn and use multi-line phone systems, including routing calls, taking messages, and responding to inquiries with courtesy and efficiency.
- Ability and willingness to learn standard office applications such as email, word processing, and spreadsheets.
- Ability and willingness to use common office tools, including printers, scanners, copiers, and fax machines.
- Demonstrated resilience and ability to adjust to changing priorities, workflows, and patient needs in a fast-paced environment.
- Commitment to providing a positive patient experience through empathy, responsiveness, and professionalism.
- Ability to independently resolve routine patient and scheduling issues using established standards and workflows.
- Ability to identify and appropriately escalate complex issues to the correct personnel.
- Willingness and ability to support onboarding of new team members by modeling workflows and best practices.
- Knowledge of EMR tools to assist with monitoring appointment availability and optimizing scheduling templates.
- High school diploma or GED.
Additional Skills & Qualifications
- Prior experience in a front-office or customer-facing role within healthcare or a similar service-oriented environment.
- Demonstrated ability to manage multiple tasks simultaneously while maintaining accuracy and attention to detail.
- Strong organizational skills and the ability to follow established processes and workflows.
- Comfort working as part of an interdisciplinary care team, contributing to a collaborative and supportive work culture.
Work Environment
This is an on-site position supporting a health system in Seattle, WA. The role provides leave coverage for approximately 18 weeks. The schedule is a day shift, working Monday, Wednesday, Thursday, and Friday from 07:30 to 18:00, with no weekends, holidays, or on-call requirements. The coordinator works in a clinical front-office environment using electronic medical record systems, multi-line phone systems, and standard office equipment such as printers, scanners, copiers, and fax machines. The setting is fast-paced and patient-focused, with a strong emphasis on professional, courteous interaction and a positive experience for patients and their families.

Pay and Benefits
The pay range for this position is $20.00 - $21.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
