The Opportunity
Tasks:
- Manage calendars, schedule and coordinate meetings, and prioritize competing requests.
- Prepare executive-ready communications, presentations, and briefing materials.
- Coordinate domestic and international travel, including itineraries and expense reconciliation.
- Serve as liaison between leadership, internal teams, and external partners.
- Handle confidential information with discretion and exercise sound judgment.
- Support special projects and events as assigned.
- Partners with hiring manager to improve employee experience by proactively planning and onboarding new EMG or other team members. Collaborates to formulate an effective transition plan that minimize/eliminate a negative impact for the incoming EA/EMG relationship. Additionally, update/submit organizational charts prior to the 1st of the month and update distribution lists within one business day of employee hire/exit.
- Ensures new hires are provided access to resources and knowledge of department-wide operations/processes. May coordinate desk/seating logistics for employees and provide oversight for on-site events.
- Manages travel and expense reporting timely and effectively. Additionally, manages team budget and confirms people leader adherence to individual budget plans. .
- Maintains filing system for key documents. Generates reports requested by assigned EMG.
- Ensures risks associated with business activities are effectively identified, measured, monitored, and controlled in accordance with risk and compliance policies and procedures.
Education:
- High School Diploma or General Equivalency Diploma.
Experiences that will support your success:
- Demonstrated ability to handle sensitive business, financial, personnel, and strategic information with professionalism and sound judgment.
- Advanced proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word, OneNote) and comfort learning new business applications and collaboration tools.
- Strong project coordination skills with the ability to manage multiple priorities, deadlines, and administrative processes with minimal supervision.
- Ability to anticipate needs, identify potential conflicts, and independently make decisions regarding scheduling, communications, and executive time management. .
- Proven experience managing complex executive calendars, prioritizing competing demands, resolving scheduling conflicts, and coordinating across multiple leadership teams.
- Strong written and verbal communication skills, including drafting professional correspondence, preparing meeting materials, and interacting confidently with senior leaders.
Compensation: USAA has an effective process for assessing market data and establishing ranges to ensure we remain competitive. You are paid within the salary range based on your experience and market data of the position. The actual salary for this role may vary by location.
Employees may be eligible for pay incentives based on overall corporate and individual performance and at the discretion of the USAA Board of Directors.
