Job Title: Insurance Coordinator Job Description
This Insurance Coordinator role focuses on supporting patients during their treatment window by providing clear, compassionate education and assistance with health insurance options in both English and Spanish. You will guide patients through Medicare Advantage plan options, connect them with independent insurance brokers, and assist with exchange-based insurance education and premium support, including eligibility paperwork and document completion. The position is administrative in nature, requires direct interaction with patients in kidney care clinics, and plays a key role in helping patients understand and manage their insurance coverage during open enrollment.
Responsibilities
- Meet with identified patients during their treatment window to provide insurance education and support in either English or Spanish.
- Review Medicare Advantage education handouts with patients to help them understand their plan options and coverage details.
- Make connections between patients and independent insurance brokers to support the enrollment process in Medicare Advantage plans.
- Provide insurance education and premium support for exchange-based plans, including explaining eligibility requirements and available options.
- Assist patients with eligibility paperwork reviews and support them in completing required insurance documents accurately and on time.
- Conduct all tasks as administrative functions while maintaining a high level of professionalism and patient focus.
- Interact directly with patients in kidney care clinics, building trust and ensuring they feel supported and informed throughout the process.
- Organize and manage patient paperwork, ensuring all documents are complete, accurate, and properly filed or submitted.
- Capture clear, effective notes to log patient engagement activities and outcomes in the appropriate systems or tracking tools.
- Participate in daily virtual huddles with the supervisor and team to review priorities, share updates, and align on daily goals.
- Provide daily reporting on patient contacts, including the number of patients engaged and the results of each interaction.
- Travel between assigned clinics within a defined geographic area to meet with patients and provide on-site support.
- Maintain confidentiality and handle sensitive patient information with care while following clinic and organizational guidelines.
Essential Skills
- Proficiency in both English and Spanish, with the ability to communicate clearly and comfortably in both languages.
- Strong customer service skills with a focus on empathy, patience, and clear communication when working directly with patients.
- Experience providing support in a healthcare or patient-facing environment, particularly in a clinic setting.
- Ability to travel between different clinics within an assigned geography to meet with patients on-site.
- Comfort and confidence in speaking directly with patients in a healthcare clinic setting about sensitive topics such as insurance and coverage.
- Strong organizational skills with the ability to manage paperwork, track multiple patient interactions, and maintain accurate records.
- Ability to capture effective notes and document patient engagement activities in a clear and structured manner.
- Reliability in participating in daily virtual huddles with the supervisor and team and providing timely daily patient contact reporting.
- Basic understanding of health insurance concepts, including plan options, eligibility, and enrollment processes (preferred but important for success).
- Attention to detail when reviewing eligibility paperwork and assisting patients with document completion.
Additional Skills & Qualifications
- Experience working with Medicare Advantage plans, including explaining plan options and connecting patients with brokers, is beneficial.
- Familiarity with health insurance exchanges and premium support processes is an advantage.
- Background in administrative roles within healthcare, insurance, or customer service environments is helpful.
- Comfort using virtual collaboration tools to participate in daily huddles and share updates with the team.
- Ability to adapt to different clinic environments and patient needs while maintaining a consistent level of service.
- Interest in potential long-term opportunities as an Insurance Coordinator beyond the initial contract period.
Work Environment
This is a non-clinical, field-based role working primarily in kidney care clinics. The position is structured as a temporary contracted engagement of approximately 6090 days, focused on the open enrollment period from mid-October through mid-December, with potential extension into 2027. There is also an opportunity for this role to transition from a temporary contract into a full-time Insurance Coordinator position. Traditional business hours apply, providing a predictable daytime schedule. You will work on-site in multiple clinic locations, including areas such as Austin, North Houston, West Texas, San Antonio, The Valley, and Laredo in Texas, traveling between assigned clinics within your designated geography. The work environment involves frequent face-to-face interaction with patients and collaboration with clinic staff, as well as daily virtual huddles with your team. Attire is expected to be professional and appropriate for a healthcare clinic setting.
Job Type & Location
This is a Contract to Hire position based out of San Antonio, TX.
Pay and Benefits
The pay range for this position is $17.00 - $20.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
