Scope of Position
The Event Services Manager oversees the planning, coordination, and execution of events and meetings to ensure a seamless guest experience. This role acts as the primary liaison between clients and operational departments, ensuring all event details are communicated clearly and executed to the highest standards of hospitality. The Event Service Manager drives guest satisfaction, operational efficiency, and profitability through careful planning and exceptional service delivery.
Position Requirements
- Professional demeanor appropriate for a resort environment.
- 2-4 years experience in event management at a resort property preferred.
- Knowledge of Delphi and Cvent preferred.
- Proven organizational, interpersonal and communication skills.
- Possess sound strategic and tactical decision-making skills.
- Knowledge of catering and events market.
- Knowledge of diverse events i.e. weddings, corporate events, and reunions.
- Proven ability to handle complex group and social events.
- Ability to operate a motor vehicle.
Responsibilities
- Serve as the main contact for clients after event contracts are signed, managing all event details including food and beverage, setup, dcor, audiovisual, and logistics.
- Coordinate with banquet, culinary, AV, and operations teams to ensure flawless event execution.
- Conduct pre- and post-event meetings with clients and internal departments.
- Prepare detailed Banquet Event Orders (BEOs) and event resumes.
- Monitor event timelines and make real-time adjustments as needed to ensure guest satisfaction.
- Build and maintain strong relationships with event planners, corporate clients, and social customers.
- Provide professional guidance to clients regarding event design, flow and menu selection.
- Handle client feedback promptly and professionally, resolving concerns to ensure repeat business.
- Review event contracts to confirm billing accuracy and adherence to company policies.
- Track and manage event budgets, ensuring profitability while meeting client expectations.
- Generate post-event reports, invoices, and billing summaries.
- Communicate in writing (Event Orders, Event Resumes, e-mails) and verbally with all operating departments to ensure the highest quality of execution at all times.
- Attend all intra/inter-departmental meetings as assigned.
- Perform any other reasonable duties as required by management.
Education
- 4-year university degree preferred or equivalent experience in hotels/resorts.
Skills and Abilities
- Able to communicate in the English language. Second language is a plus.
- Able to work with and understand financial information and data and basic arithmetic functions.
- Flexible schedule based on event needs, typically starting between 6:00-7:00am., with weekend and occasional holiday availability.
Physical Requirements
- Able to work in a fast-paced environment.
- On a continuous basis, sit at a desk in front of a computer screen; intermittently twist to reach to reach equipment or supplies surrounding desk; perform simple grasping and fine manipulation; use telephone and computer keyboard on a daily basis.
- Physically fit in order to lift, pull and push items up to 50 pounds.
- Requires standing/walking/reaching and bending throughout shift.
