About this role

Title: Executive Assistant & Household Manager

Location: Greensboro, NC 27410

Employment Type: Part-time, 20–25 hours per week, with 20 hours guaranteed. Hours may flex upward during busy seasons and around family travel. Opportunity for more hours over time.

Schedule:
Monday, Wednesday & Friday: 9:00 AM–1:00 PM | Virtual PA/Admin
Tuesday & Thursday: 9:00 AM–12:00 PM | In-home House Management | 12:00–3:00 PM | PA/Admin (Virtual or In-Office)
Additional hours as needed: Flexible PA/Admin support based on workload, travel, and family needs

Requirements

- Minimum 3–5 years of experience in an executive assistant, personal assistant, or household management role

- Reliable personal vehicle and valid driver's license

- Ability to lift up to 35–40 lbs (to help with children & gear)

- Comfortable working in a home with a cat

- Fragrance-free while on the job

- Maintain a smoke-free environment

- Must be authorized to work in the United States

- Must pass a background check

- CPR and first aid certification preferred; not required

- High level of discretion and respect for family privacy — non-negotiable

Compensation & Benefits

- $32–$38 per hour, depending on experience, paid through payroll (W-2)

- 20 guaranteed hours per week, paid even if the family's schedule changes

- Mileage reimbursement for errands completed during work hours

About Our Family

We're a busy, close-knit family of five navigating the beautiful chaos of life with little ones, a school-aged child, and a thriving family business. One parent leads the business full-time, and the other is home with our youngest children while also contributing to business marketing and community partnerships. Community and connection are important to us, and we share a commitment to living intentionally.

Life moves fast for us, so we run our household with the same care and organization we bring to our business. We do annual, quarterly, and weekly planning, and we use a shared digital calendar to keep everything in sync. We go to bed early, travel regularly (both together and for work), and love getting away to our lake house on summer weekends. We also have one senior indoor cat who is very much part of the family.

Our home runs best when systems are in place and someone is ahead of the details before we even notice they need attention. We have two very different working styles under one roof: one of us is big-picture and decisive, preferring a finished product handed over for final approval; the other is detail-oriented and likes to weigh options before landing on a decision. We need someone who can adapt fluidly to both.

Because we're well-connected in our community, privacy is essential to us. Discretion and professionalism aren't just preferences; they're core requirements of the role, in both our personal lives and our business affairs. We currently have support from a part-time sitter, a house cleaner, a landscaper, and other service providers, so this role is about coordination and leadership as much as hands-on help. We're a small but mighty team at home, and we're looking for someone who truly wants to become a trusted, long-term part of it.

Key Responsibilities

Executive Assistant Support (Business, primarily virtual)

- Manage and triage a busy professional inbox

- Draft emails and correspondence for review and approval before sending

- Manage business calendar coordination and scheduling

- Coordinate all business travel logistics, including hotel bookings, airport transportation, and conference scheduling

- Handle phone calls and time-sensitive one-time projects

- Manage annual renewals and recurring administrative tasks

- Conduct brief daily text check-ins (morning and end of day) to align on priorities and active tasks

- Provide ongoing virtual support throughout the week via text-based communication

Personal Support

- Manage the family calendar, including integration with the Skylight calendar system

- Schedule medical, dental, and other personal appointments

- Schedule and coordinate routine maintenance for family vehicles (oil changes, inspections, etc.)

- Handle fueling and general cleanliness of family vehicles

- Track registration and insurance renewal timelines for vehicles and watercraft

Childcare Coordination

- Coordinate and secure backup childcare when the family's regular sitter is unavailable

- Arrange childcare for date nights and other evening needs

- Plan and book childcare for family travel, including conference trips, and coordinate schedules, logistics, and any travel arrangements for the caregiver

- Maintain a vetted list of trusted sitters and backup care options

- Comfortable around the children and able to step in briefly when needed

Meal Planning & Grocery Management

- Develop weekly meal plans and grocery lists aligned with family dietary preferences

- Place grocery orders (Amazon Fresh, Whole Foods delivery, or in-store as needed)

- Prepare one simple slow-cooker or oven-ready meal per week, or coordinate a meal kit or prepared-meal alternative

- Dietary awareness: one parent avoids chicken, fish, pork, and ground beef (with exceptions) and is currently dairy-free; other family members eat everything; no major allergies

Household Organization & Maintenance

- Maintain household organization systems throughout the home

- Light daily tidying, including toys, dishes, surfaces, and dishwasher management

- Organize cubbies, pantry areas, and toy zones as needed

- Manage seasonal clothing transitions for children

- Shop for children's clothing and occasionally adult clothing based on family direction

- Coordinate event, holiday, and guest preparation, including holiday decorating

- Assist with packing before and unpacking and laundry after family travel

- Care for indoor plants

- Handle incoming mail and UPS drop-offs and pickups

Inventory & Errands

- Manage running household supply lists and restock accordingly

- Manage household essential subscriptions, including paper goods, cleaning supplies, and pet supplies (via Amazon subscription)

- Handle returns, dry cleaning, and gift shopping

- Coordinate donation drop-offs to local charitable organizations

Laundry & Linens

- Wash, fold, organize, and put away laundry for the household

- Change and launder bed linens on a regular schedule

- Maintain tidy, well-stocked laundry areas

Pet Care

- Feeding and care for the family's senior indoor cat

- Regular litter box cleaning and maintenance

- Clean up after pet messes as needed

- Schedule veterinary appointments

- Maintain pet supply inventory

Vendor & Property Oversight

- Serve as the primary point of contact for housekeeping and landscaping vendors

- Coordinate access, scheduling, and communication with service providers

- Assist with occasional outdoor space upkeep and organization
