Job Description

About the role:

As an Executive Assistant at KordaMentha, you will provide proactive and high-quality support to four Partners as well as a wider service line. Your key responsibilities will include complex diary management, meeting coordination, travel arrangements, expense management and day-to-day executive support.

You will also play an important role in coordinating client networking functions and internal team events, managing communications and supporting broader operational activities. Working closely with the Office Support team and colleagues across the firm, you will help ensure priorities are effectively coordinated and the team operates smoothly.

This is a varied and hands-on opportunity for an experienced Executive Assistant who enjoys building trusted relationships, managing competing priorities and contributing to a supportive and collaborative workplace.

Key responsibilities:

- Providing proactive, end-to-end executive support to senior leaders.
- Managing complex and frequently changing diaries, meeting requests and scheduling conflicts.
- Coordinating meetings involving senior internal and external stakeholders.
- Preparing agendas, presentations, reports, correspondence and other professional business materials.
- Arranging domestic and international travel, including flights, accommodation, transport and itineraries.
- Preparing and processing expenses accurately and within required timeframes.
- Monitoring correspondence, requests and outstanding actions to help keep priorities on track.
- Coordinating client functions, networking opportunities, team events and other business activities.
- Managing event logistics, including invitations, guest lists, venues, catering, technology and supporting materials.
- Maintaining accurate team resources, shared information and administrative records.
- Identifying practical opportunities to improve administrative processes and team workflows.

Qualifications

You are an organised, dependable and proactive professional who takes ownership of your work and follows activities through to completion. You exercise sound judgement, communicate confidently and understand the importance of discretion when supporting senior stakeholders.

You will bring:

- Previous experience in an Executive Assistant, senior administration or comparable business support role.
- Experience supporting Partners, executives or multiple senior stakeholders.
- Previous experience within professional services or a corporate environment.
- Strong diary, meeting and travel coordination capability.
- Demonstrated event management experience, including coordinating guest lists, suppliers and event logistics.
- Excellent written and verbal communication skills.
- Strong attention to detail and a commitment to producing accurate, high-quality work.
- Advanced proficiency in Outlook, Word, PowerPoint and Excel.
- Confidence using business systems such as CRM platforms, SharePoint and virtual meeting tools.
- The ability to manage sensitive and confidential information professionally.
- A proactive and adaptable approach to changing priorities.
- Strong relationship-building and stakeholder management skills.
- The ability to work autonomously while contributing positively to a collaborative team.
