Summary: The Benefits Coordinator supports the effective administration of employee benefit programs and serves as a responsive resource for employees, managers, vendors, and HR partners. This role coordinates enrollment and life-event changes, handles employee benefit inquiries, maintains accurate benefits data, assists with leave-related benefits processes and compliance activities, reconciles carrier information and invoices, and helps employees understand and access their benefits. The Benefits Coordinator handles confidential information with discretion and delivers timely, accurate, and employee-centered service.

Essential Duties and Responsibilities:
• Coordinate new-hire benefit enrollment, qualifying life-event changes, and benefit terminations in accordance with plan rules and established timelines.
• Respond to employee questions regarding eligibility, coverage, enrollment, deductions, claims navigation, and benefit resources; escalate complex matters appropriately.
• Maintain accurate employee benefit records across the human resources information system, benefits administration platform, payroll system, and carrier portals.
• Review enrollment and eligibility data for accuracy, investigate discrepancies, and coordinate corrections with employees, Payroll, vendors, and carriers.
• Support annual open enrollment activities, including system configuration, employee communications, educational materials, enrollment tracking, and post-enrollment audits.
• Assist with reconciliation of carrier invoices and eligibility files as requested by leadership and identify variances to coordinate timely resolution.
• Assist with administration of medical, dental, vision, life, disability, flexible spending, health savings, retirement, wellness, and other benefit programs, as assigned.
• Provide administrative support for leave-related benefit continuation, premium collection, and return-to-work benefit updates in coordination with appropriate HR team members.
• Assist with required notices, reporting, audits, and record retention related to applicable benefit laws and plan requirements.
• Prepare routine benefits reports, monitor service trends, and help identify opportunities to improve employee experience, data accuracy, and process efficiency.
• Coordinate with brokers, consultants, third-party administrators, and benefit carriers to resolve service issues and support program administration.
• Protect confidential employee and health information and follow all organizational privacy, security, and records-management requirements.
• Support benefits communications, employee education sessions, and other HR initiatives as needed.
• Must exercise discretion and maintain confidentiality with regard to all company information
• Completion of all required trainings as designated by the company and accreditation/licensing entities.
• Other duties as assigned.

Required Qualifications
Education, Licensure, & Experience
• High School Diploma or equivalent required; Associate or Bachelor's Degree in Human Resources, Business Administration, or a related field preferred.
• Two (2) years of experience in benefits administration, human resources, payroll, or a related administrative role preferred.
• Working knowledge of employee benefit programs and applicable requirements, including HIPAA, COBRA, ERISA, ACA, and Section 125 plans, preferred.
• Experience using HR, payroll, benefits administration, or carrier systems; proficiency with Microsoft Office
applications, particularly Excel, Outlook, and Word.
• Ability to analyze detailed information, maintain accurate records, manage competing deadlines, and follow
issues through resolution.
• Strong written and verbal communication skills, sound judgment, and a demonstrated commitment to
confidentiality and service.

Physical Demands
While performing the duties of this job, the employee is frequently required to talk or hear. The employee is
regularly required to sit, use hands to operate computers, telephones, and standard office equipment, and review
detailed information. The employee is occasionally required to stand, walk, reach with hands and arms, stoop,
bend, or climb stairs. The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities
required include close vision and the ability to adjust focus for computer use and review of detailed information.

Work Environment
This position operates primarily in a professional office and/or remote work environment with regular use of
computers, telephones, and business technology. Occasional travel may be required. Schedule flexibility may be
necessary during open enrollment, audits, acquisitions, and other business-critical periods.

Compensation
This position may be subject to state or local wage transparency requirements. Where required by law, a

The starting compensation for this role is $20/hour; final compensation will be determined based on skills, experience, and qualifications.
