As a Fire Sprinkler Service Coordinator, you will support Project Managers and the Fire Sprinkler Department with project coordination, scheduling, customer communication, resource planning, documentation, project tracking, estimating support, and administrative tasks. You will work closely with Project Managers, field personnel, customers, accounting, estimating, and other departments to help ensure projects are completed accurately, efficiently, and on schedule.

Job Summary

We are seeking a dependable, organized, and detail-oriented Service Coordinator to support the daily operations of the Fire Sprinkler Department. This position will assist Project Managers with project setup, coordination, scheduling, customer communication, resource planning, project documentation, project tracking, reporting, and residential bid support.

The successful candidate will be an effective communicator and multi-tasker who can manage multiple projects and deadlines while maintaining accurate records and providing excellent customer and team support.

The Fire Sprinkler Service Coordinator will help coordinate a variety of fire sprinkler projects, including residential, commercial, new construction, and tenant improvement projects, from initial planning through completion.

Core Responsibilities

Project & Department Coordination

- Assist Project Managers with their overall project responsibilities and provide backup support as needed.

- Coordinate project activities from start to finish to help ensure projects remain on schedule and within established requirements.

- Maintain accurate and up-to-date project information in the company's project management software, including BuilderTrend.

- Monitor project information, schedules, tasks, and outstanding items to ensure projects remain organized and on track.

- Track current project requirements while proactively identifying upcoming needs and deadlines.

Resource Planning & Scheduling

- Assist Project Managers and department personnel in determining required manpower, equipment, materials, and other resources.

- Coordinate resource needs with appropriate departments throughout the project lifecycle.

- Help identify potential scheduling conflicts, outstanding requirements, and resource needs.

Customer & Internal Communication

- Communicate professionally and effectively with customers regarding project information, scheduling, documentation, and other project-related matters.

- Serve as a point of contact for customers and internal departments when appropriate.

- Respond to customer and team inquiries in a timely and professional manner.

Project Management Software & Documentation

- Become highly proficient in the company's project management software and related systems.

- Maintain accurate project information, records, schedules, and documentation.

- Monitor team performance and completion of required tasks within the company's software.

- Ensure project information is entered accurately and updated in a timely manner.

Administrative Support

- Perform general office and administrative functions necessary to support department and company objectives.

- Prepare reports, correspondence, spreadsheets, and other documentation.

- Utilize Microsoft Outlook, Word, Excel, and other general computer applications.

- Attend departmental meetings as required and participate in project-related meetings when needed.

- Maintain organized records and follow established company procedures.

Qualifications

Education & Experience

- Associate degree (A.A.) from a two-year college or technical school preferred; or six months to one year of related experience and/or training; or an equivalent combination of education and experience.

- Previous experience in fire sprinkler, fire protection, construction, project coordination, scheduling, or a related field is preferred.

- Experience with project management software, construction administration, customer service, or estimating is a plus.

- Knowledge of residential and commercial fire sprinkler projects and methodologies is preferred.

Physical Requirements

This position is primarily office-based. Employees must be able to perform the following physical activities as necessary to perform the essential functions of the position:
