As a Project Coordinator, you will support Project Managers, Superintendents, Designers, Sales, and other departments with project coordination, documentation, communication, data tracking, and administrative support. You will also serve as an important point of communication between internal teams and customers to help ensure projects are organized, accurate, and progressing efficiently.

Job Summary

We are seeking a dependable, organized, and detail-oriented Project Coordinator to support the day-to-day coordination and administration of fire protection projects.

The Project Coordinator will serve as a liaison between Project Managers, Superintendents, Designers, Sales, customers, and other internal departments. This position is responsible for maintaining accurate project information, coordinating documentation, tracking project data, supporting communication between departments, and following up on outstanding project requirements.

The successful candidate will be an effective communicator and self-starter who can manage multiple priorities, meet deadlines, maintain accurate records, and provide clear and timely information to both internal teams and customers.

Core Responsibilities

Project Coordination & Administration

- Support Project Managers, Superintendents, Designers, Sales, and other departments with daily project coordination needs.

- Maintain accurate and organized project information, records, and documentation.

- Enter and maintain project data, including building trend schedules and other project tracking information.

- Gather, organize, scan, upload, and file project documents as required.

Plans, Specifications & Project Documentation

- Read and comprehend construction blueprints, specifications, submittals, and related project documents.

- Review project information to help ensure required documentation is complete and accurate.

- Create Requests for Information (RFIs) and assist with tracking and closing RFI documentation.

- Assist with project closeout documentation and other required project records.

Communication & Customer Relations

- Serve as a professional liaison between internal departments and customers/clients.

- Build and maintain positive, professional relationships with customers and project stakeholders.

- Communicate project information clearly and professionally through email, telephone, and in-person interactions.

- Provide information and clarification to employees, project teams, customers, and other stakeholders as needed.

Qualifications

Education & Experience

- One to two years of related experience and/or training; or an equivalent combination of education and experience.

- Previous experience as a Project Coordinator, Assistant Project Manager, or in a similar construction or project-support role is preferred.

- Experience in fire protection, construction, engineering, or a related industry is a plus.

- Experience working with project management and/or accounting software is preferred.

Physical Requirements

This position is primarily office-based. Employees must be able to perform the following physical activities as necessary to perform the essential functions of the position:

- Sitting: Remain seated at a desk and computer workstation for extended periods.

- Handling: Work with documents, files, computer equipment, and other materials.

- Lifting: Raise or lower paperwork and miscellaneous materials.

- Reaching: Extend hands and arms in various directions.

- Vision: Read computer screens, blueprints, paperwork, and other documents.
