Loan Officer Assistant (Remote or Hybrid)

Location: Remote or Hybrid

Position Summary

The Loan Officer Assistant supports the mortgage origination process by assisting Loan Officers with loan file preparation, customer communication, coordination with third parties, and administrative tasks. This role helps ensure a smooth and efficient experience for borrowers while maintaining accuracy and compliance throughout the loan process.

Loan Processing Support

- Gather and organize documentation required for loan applications.
- Review loan files for completeness and accuracy.
- Follow up with borrowers and third parties to obtain outstanding documentation and satisfy loan conditions.
- Coordinate appraisals, inspections, insurance requirements, and escrow-related activities.
- Assist with borrower pre-qualification using Automated Underwriting Systems (AUS).
- Partner with processors, underwriters, and closing teams to facilitate timely loan closings.

Customer and Partner Communication

- Respond to general questions regarding loan products, processes, and application status.
- Communicate regularly with borrowers, real estate professionals, title companies, and internal teams to provide updates throughout the loan process.
- Schedule and coordinate loan closings and related appointments.

Administrative and Operational Support

- Maintain and update customer and loan information in company systems.
- Assist with marketing initiatives, including email and direct mail campaigns.
- Stay informed on mortgage products, market trends, and industry updates.
- Perform general administrative duties, including phone, email, and document management support.
- Participate in special projects and other duties as assigned.

Required Experience

- At least 1 year of experience in mortgage lending, loan origination support, sales support, or a related field.
- Experience working in a fast-paced environment with changing priorities.
- Ability to analyze information, identify solutions, and make informed decisions.
- Experience building and maintaining effective working relationships with customers, business partners, and colleagues.
- Experience researching issues, resolving problems, and managing multiple tasks simultaneously.
- Experience with retail mortgage loan origination processes.
- Experience using Encompass or similar loan origination software.

Knowledge and Skills

- Working knowledge of mortgage lending regulations, processes, and industry practices.
- Understanding of residential loan products, including Conventional, FHA, USDA, and VA programs.
- Familiarity with mortgage-related terminology such as escrow, title, taxes, insurance, and closing documentation.
- Strong organizational skills with attention to detail and accuracy.
- Effective verbal and written communication skills.
- Ability to manage multiple priorities while meeting deadlines.
- Proficiency with Microsoft Office applications and mortgage industry technology platforms.
- NMLS license preferred but not required.
