JOB SUMMARY
The Manager of Administrative Support Services provides leadership and oversight for administrative operations and support staff. This role ensures consistent, high-quality administrative services, effective workload and resource management, and a strong service-oriented culture in support of academic leadership, faculty, students, and external stakeholders. The position emphasizes people leadership, process improvement, and operational effectiveness while ensuring compliance with university policies, accreditation standards, and regulatory requirements unique to education.

PRIMARY JOB RESPONSIBILITIES

Staff Leadership & Supervision

- Directly supervises, coaches, and develops a team of administrative support staff, which may include administrative assistants, program support staff, and student workers
- Establishes clear performance expectations; conducts regular performance evaluations; and addresses performance issues in a timely, constructive manner
- Builds staffing schedules, assigns work, and balances workloads to ensure continuity of operations and coverage during absences
- Supports talent management activities, including hiring, onboarding, training, cross-training, and staff engagement initiatives
- Fosters a collaborative, inclusive, and service-driven work environment

Administrative Operations & Service Delivery

- Oversees day-to-day administrative support operations for a school/department, ensuring timely, accurate, and professional service delivery
- Partners with school academic departments, clinics, and administrative units to ensure administrative needs are met consistently
- Standardizes processes, templates, and service expectations across administrative functions to improve efficiency and reduce variability
- Serves as a point of escalation for complex or sensitive administrative issues requiring judgment, discretion, or cross-unit coordination

Financial, Resource, and Academic Support

- Assists Business Director and Department Chairs with management of department budgets, including monitoring expenditures and preparing reports
- Oversees purchasing and expense processes in compliance with university and regulatory requirements
- Supports faculty and academic administration, including scheduling coordination, program support, and reporting obligations
- Assists with logistics and administrative support for school events, meetings, clinics, and special programs

Process Improvement & Compliance

- Identifies opportunities to improve workflows, reduces manual processes, and enhances service delivery through standardization and effective system use
- Ensures administrative practices comply with university policies, confidentiality requirements, and records-management expectations
- Supports compliance with HR and financial processes by ensuring staff follow approved procedures and timelines

​Communication & Collaboration

- Acts as a liaison between administrative support staff and school leadership to ensure clear communication of priorities, expectations, and changes
- Partners with central administrative offices (e.g., Registrar, Facilities, IT) to resolve issues and coordinate services
- Promotes a collaborative service culture that supports faculty effectiveness and student success

Strategic Initiatives & Special Projects

- Leads or contributes to special projects, strategic initiatives, and operational improvements as assigned by school leadership

- Performs other duties as assigned

MINIMUM QUALIFICATIONS

- Bachelor’s degree
- Three or more years of experience supervising or leading administrative or professional staff
- Demonstrated experience managing complex administrative operations in an academic or professional services environment

PREFERRED QUALIFICATIONS

- Master’s degree
- Experience in higher education

WORK SCHEDULE EXPECTATIONS:

This is a fully in-person position and will require the individual to work at Macelwane Hall with the College of Arts and Sciences on campus at Saint Louis University.
