Role/ Department:

The Transfer Agency department provides a third-party fund administration service to numerous fund management companies covering the full range of shareholder servicing functions including dealing, registration, finance and investor services. It’s a fast-paced environment offering all partners excellent opportunities to grow their careers.

The Transfer Agency Oversight Officer will work closely with the Transfer Agency Oversight Manager and will independently support the execution of the Transfer Agency oversight framework, including the oversight plan, governance forums, control reviews, service-provider monitoring and follow-up of remediation actions.

The role requires the successful candidate to work independently, with limited guidance from line management, in supporting the oversight and control of:

·       All delegated Transfer Agency activities; and

·       In-house Transfer Agency activities, ensuring that they are performed in accordance with applicable regulations, internal policies and procedures.

The key responsibilities of the role include

Perform oversight of TA activities delegated to multiple outsourcing service providers;

- Ensure processes are completed in line with existing operational procedures, internal policies and Luxembourg regulations;
- Coordinate and participate in monthly oversight governance meetings, including the preparation and maintenance of accurate meeting minutes and action logs
- Review monthly MI/KPIs produced by outsourcing service providers to track operational performance;
- Evaluate KPIs for effective oversight on quality and timeliness to agreed SLAs;
- Perform random sample testing of the key controls;
- “Assess whether appropriate controls are adequately designed, implemented and operating effectively.
- Remain informed of regulatory developments affecting Transfer Agency activities and communicate relevant requirements to outsourcing service providers and internal stakeholders.
- Contribute to and represent Transfer Agency during on-site and remote due-diligence reviews of outsourcing service providers.
- Oversee the timely completion, testing and documentation of applicable Business Continuity and Transfer of Work requirements.
- Initiate the annual review and execution of the Service Level Descriptions;
- Coordinate and perform annual ongoing due diligence reviews and prepare the corresponding oversight reports.
- Collaborate with the Outsourcing Manager on matters affecting Transfer Agency outsourcing arrangements.
- Fulfil additional, relevant tasks appropriate to the role and business requirements;
- Collaborate with Operations management on any issues and challenges;
- Identify and promptly escalate material issues, control deficiencies and service concerns to the Transfer Agency Oversight Manager.
- Prepare clear and timely reporting of oversight findings, risks, remediation actions and emerging themes for the Transfer Agency Oversight Manager and senior management.

Skills/ Qualifications:

The successful candidate will benefit from having:

- Relevant professional experience in Transfer Agency, fund administration, oversight, operational risk or a comparable financial-services control function.
- Experience in oversight and operational controls;
- Fluency in English (written and spoken) is essential;
- Excellent communication skills, ability to communicate effectively at all levels;
- Ability to work in a multi-cultural environment with diverse teams;
- Structured independent way of working and high degree of resilience;
- Team player who can gain the support and commitment of internal TA partners, support functions and outsourcing service providers;
- Ability to work on own initiative and with minimal direction;
- Strong analytical skills with attention to detail and focus on quality;
- Strong organisational and prioritisation skills, with the ability to manage multiple responsibilities and deadlines.
