Facilities Coordinator- JLL

What this job involves:

As a Facilities Coordinator at JLL, you'll be the welcoming face and operational backbone of your assigned facility, ensuring every day runs smoothly for clients, visitors, and building occupants. This role combines front desk reception duties with hands-on facility management responsibilities, positioning you as a central point of contact who bridges hospitality and operations. You'll work closely with the facility management team to maintain a safe, clean, and organized environment that reflects our brand standards while handling everything from temp badging and wayfinding to work order creation and vendor coordination. What your day-to-day will look like:

• Actively monitor and maintain the front desk, lobby, and common areas to ensure a safe, clean, organized environment that reflects JLL brand standards

• Execute the temp badging process for employees, visitors, and third-party providers while serving as the primary point of contact for campus information, services, and wayfinding

• Create and track work orders for custodial, maintenance, safety, and security concerns through appropriate channels and computerized systems

• Coordinate and schedule maintenance activities, escorting vendors and ensuring excellent execution of work with minimal disruption to client operations

• Manage facility-specific tasks including procurement of property supplies and services, vehicle and equipment logistics, and meeting room reservations

• Provide tactical support to the facility management and project management teams, assisting with planning, administrative tasks, and ad hoc assignments

• Identify potential risks related to privacy, security, or operational disruptions and escalate appropriately to ensure seamless service delivery

Required qualifications:

• Bilingual in Spanish (fluent verbal and written communication required)

• High school diploma or GED

• 2+ years of experience in facility administration, property management, or related coordination role

• Superior customer service skills with a hospitality-oriented approach to all interactions

• Proficiency with Microsoft Excel, including the ability to customize administrative reports and manage spreadsheets

• Strong organizational skills with demonstrated ability to multitask and work independently without direct supervision

• Excellent verbal and written communication skills with the ability to interface professionally with clients, visitors, vendors, and team members

Preferred qualifications:

• Proficiency across the full Microsoft Office Suite (Word, PowerPoint, Outlook)

• Experience with computerized maintenance management systems (CMMS) or work order platforms

• Demonstrated ability to plan and manage work effectively under time constraints

• Familiarity with facility management best practices and operational protocols

• Collaborative working style with experience supporting cross-functional teams

Schedule: M-F 8AM-5PM

Location: Austin TX
