Job Summary
The Psychiatric Scheduler is a nonexempt position responsible for proactively anticipating scheduling needs for the psychiatric services department. Tasks are assigned as needed, that include scheduling interpreters, scheduling clients follow-up appointments and working closely with the psychiatric services team.
Schedule: Monday - Friday 8:30 AM - 4:30 PM onsite in Northbrook, IL
Compensation: $21.98 - $27.47 per hour
Essential Responsibilities and Metrics
- Answer and field the psychiatric services scheduling line, directing calls or taking messages for providers or staff, and scheduling appointments for psychiatric service clients daily.
- Schedule appointments in accordance with psychiatric provider recommendations, department protocols, and client preferences, when appropriate, within 24–48 hours.
- Confirm upcoming appointments with clients at least 48 hours in advance and consistently document all confirmation attempts and outcomes.
- Proactively monitor and maintain psychiatric provider calendars throughout the business day, ensuring schedules accurately reflect provider availability and patient appointments.
- Collaborate with the Intake team to schedule new patient appointments and coordinate available provider openings.
- Process cancellations, additions, reschedules, and other appointment changes in the EMR in real time.
- Communicate with appropriate parties within the department regarding patient concerns or issues related to scheduling.
- Use superior customer service techniques to address clients scheduling concerns within 24–48 hours.
- Respond appropriately and in a timely manner to requests from the Psychiatric Services Manager, which may include special projects and other duties as assigned.
Qualifications
- High School diploma required.
- Strong verbal and written communication skills.
- Computer literacy to maintain and manage scheduling appointments.
- High organizational skills to navigate scheduling multiple clients.
Preferred
- Bachelors degree in related field.
- Experience in mental health.
- Experience in outpatient or community healthcare settings.
- Experience with Smart Care EHR.
- Bilingual - Spanish Speaking.
