About this role
Procore is seeking a Senior Executive Assistant to support core leaders of the company’s leadership team. In this role, you’ll manage a wide range of administrative and executive support-related tasks to optimize the effectiveness and efficiency of our executives.
As a successful Senior Executive Assistant , you’ll partner closely with external stakeholders, executive administrative staff, and the executive leadership team to support the executives’ increasing demands as Procore continues to scale globally. In an ever-changing and constantly shifting work environment, use your resourcefulness, organizational skills, flexibility, and warm, proactive approach to identify and solve current and anticipated challenges for your executives.
The position reports to the Manager, Administrative Assistant Enablement & Operations and is based in our San Francisco, CA office. We’re looking for someone to join us immediately.
What you'll do:
- Complete a wide variety of professional administrative tasks, including managing an active and complex calendar of appointments, monitoring and responding to emails, organizing travel and agendas, onboarding new hires, and completing expense reports
- Anticipate and proactively identify more effective and efficient ways to manage administrative tasks with professionalism and care
- Self-identify and autonomously handle high impact projects while maintaining confidentiality and discretion
- Manage a variety of confidential and sensitive special projects which may have a broad organizational impact
- Proactively prioritize deadlines and conflicting needs and handle matters expeditiously to successful task/project completion
- Oversee the coordination and tactical planning for events and meetings, including preparing meeting content and presentation materials
- On behalf of Executives, communicate directly and professionally with their direct reports, senior leadership, customers and partners on matters related to their organization
- Collaborate and partner effectively with all executive stakeholders as well as high-profile customers, partners, and associates
What we're looking for:
- 4+ years experience in an administrative support role at the executive level, or equivalent work experience
- 3+ years experience using Slack, Google Workspace, and Concur
- Exceptional calendar management skills, including the coordination of complex and distributed multiple participant executive meetings
- Professional written and verbal communication skills with strong attention to detail
- Experience with complex executive company travel
- Exceptional organizational and decision-making skills
- Approachable demeanor with outstanding social and communication skills
- Demonstrated professionalism and ability to maintain the highest level of confidentiality
Additional Information
Base Pay Range:
88,025.60 - 121,035.20 USD Annual
This role may also be eligible for Equity Compensation and/or Bonus Incentive Compensation. Procore is committed to offering competitive, fair, and commensurate compensation. Actual compensation will be based on a candidate’s job-related skills, experience, education or training, and location.
