A Brief Overview
The Office Manager is responsible for overseeing office operations, enhancing employee experience, and ensuring the effective delivery of administrative and workplace services. The role works closely with internal stakeholders to support business needs, promote a productive work environment and drive continuous improvement across office operations and will evolve in scope and responsibility as business needs grow, providing opportunities for expanded leadership, strategic involvement, and cross‑functional contribution.
What you will do
Office Operations & Workplace Management
- Oversee office facilities, resources, and workplace operations to ensure business continuity, employee productivity, and a safe, well‑functioning environment. Act as the central point of coordination for office‑related matters, leading space planning, office changes, and timely resolution through effective stakeholder communication.
Employee Experience & Engagement
- Champion a positive, inclusive, and service‑oriented workplace experience by acting as an employee concierge and driving initiatives that support employee wellbeing, engagement, convenience, and productivity.
- Collaborate with internal stakeholders to design and deliver onboarding, engagement, wellbeing, and social initiatives, continuously identifying innovative and practical enhancements to the overall workplace experience.
Safety, Risk & Business Continuity
- Coordinate occupational health, safety, and wellbeing initiatives in compliance with company policies and regulatory requirements. Lead and support BIA, BCP, and SCM activities to ensure safety, emergency preparedness, and operational resilience, including fire safety, first‑aid readiness, and building evacuation preparedness.
Vendor, Contract & Facilities Oversight
- Manage and govern relationships with building management, landlords, and key service providers, ensuring tenancy obligations, renewals, and facility requirements are met in line with contractual agreements.
- Support sourcing, evaluation, and negotiation of vendors and service providers, while monitoring performance, service quality, and timelines, and proactively escalating and resolving issues as required.
Financial & Resource Stewardship
- Drive cost awareness, budget adherence, and responsible use of office resources by monitoring office‑related expenditures, promoting efficient planning, and minimizing waste through effective controls.
- Identify and support cost efficiency and continuous improvement initiatives by reviewing spend patterns and highlighting opportunities to enhance operational value.
Process Development & Continuous Improvement
- Develop, document, and standardize clear, practical office and administrative processes aligned with company guidelines to ensure consistency, usability, and effective knowledge transfer.
- Continuously review and enhance processes by identifying inefficiencies and driving improvement initiatives that strengthen operational effectiveness, efficiency, and service quality.

Stakeholder Collaboration & Leadership Contribution
- Work closely with internal teams and leadership to deliver day‑to‑day operational requirements with timely execution and issue resolution. Take hands‑on ownership of tasks, projects, and initiatives aligned with business priorities, ensuring clear communication and follow‑through. Represent the office management function with professionalism and operational credibility through consistent, reliable delivery.
Qualifications
- H.S. Diploma or General Education Degree (GED).
- Bachelor’s Degree in Arts/Sciences (BA/BS) preferred.
- 10+ Years Experience in office management work preferably with staff size exceeding 150.
- Skills in MS Office suite, especially PowerPoint, Word and Excel.
- Strong written and spoken communication skills.
- Solid relationship building and management skills.
- Demonstrates high levels of integrity, confidentiality, and accountability.
- Strong analytical and problem-solving skills.
- Self-motivated, proactive, and passionate, with a strong sense of ownership and initiative.
