The Position
The Student Support: General Admin Advisor (Senior) provides high-level administrative and student support
services, focusing on registration, reporting, student lifecycle queries, and client communication related to
administration. The role handles more complex, sensitive, or escalated matters, ensures compliance with SLA and data
requirements, and contributes to continuous improvement efforts within the team and broader department.
PRIMARY RESPONSIBILITIES
While all Administrators contribute to the overall functioning of the Engagement Hub, each level carries distinct
responsibilities that reflect the scope, complexity, and accountability of the role. These primary responsibilities
differentiate the Junior, Mid, and Senior levels and illustrate the progression in expertise and independence expected
at each stage.
Responsibilities include:
1. Student administration and processing
- Execute the processing function related to admission and registration workflow for any application received
within the required timelines.
- Execute the processing function related to administration change requests received via cases or system
workflows within the required timelines.
- Execute the processing function related to custom timetable administration such as attendance register
capturing and exam rewrite registrations.
- Collaborate with all stakeholders in Student Recruitment and Schools teams to execute admission and
registration processes timeously.
- Escalate challenges related to processing operations via the standard ticketed process or to supervisor.
- Ensure accuracy and compliance related to admission and registration approvals.
- Ensure service excellence in all communications related to student administration.
2. Processing and operational administration
- Coordinate with academic and operational teams to perform the processing function timeously to meet critical
registration milestones.
- Deliver complete and accurate administration aligned with academic calendars, project timelines, and escalation
protocols.
3. Client administration and invoicing
- Action client admission and registration requests escalated by the Project Manager or through case
management, ensuring accuracy, consistency, and timely submission in line with agreed SLAs.
- Action monthly invoicing cycle administrative process. Collaborate with Finance to address any data-related
discrepancies.
- Perform quality checks on all outgoing data as related to admissions and registrations to ensure reports are
clean, client-ready, and compliant with institutional standards.
4. Corporate client support and communication
- Provide professional, consistent, timeous updates and feedback to corporate client cases.
- Perform investigations or analysis of complex queries; escalate unresolved cases when necessary.
- Keep clients informed of the status and progress of their queries.
- Assist clients with accessing and navigating the corporate client portal.
SHARED ENGAGEMENT HUB ACTIVITIES AND SUPPORT
This area of responsibility spans all three levels of the General Admin and Support Administrator role. Regardless of
seniority, each team member contributes to these key Hub activities from time to time. While the scope and complexity
of tasks may differ, all levels are expected to assist as and when required to ensure service continuity and a consistent
student experience. These activities include:
- Provide support across all functions within the Student Engagement Hub, including sales, administration, and
student support, by assisting with any task including and not limited to administrative, processing, and service related duties as required.
- Provide support during key admission and registration periods by assisting with assigned tasks to ensure the
timely and accurate registration of students.
- Respond to, resolve, and/or escalate student queries using Customer Service workspace in a professional
manner.
- Assist with exam-related queries on examination days, ensuring accurate and efficient responses.
- Support students with MS Teams login issues on facilitation days, ensuring minimal disruption to learning.
- Maintain up-to-date knowledge and understanding of relevant support processes, administrative procedures,
and institutional policies.
- Ensure strict adherence to POPIA and other applicable regulatory compliance requirements in all interactions
and data handling.
QUALIFICATIONS, EXPERIENCE & SKILLS
- Minimum: Post-school qualification at least NQF L5 in Office Administration and or Business Management,
Customer Service.
- Preferred: Higher Certificate or Diploma in Office Administration, Business, or (NQF Level 5 or above).
- Required: 3-4 years’ experience in customer service, administration and support.
- Preferred: 3-4 years in higher education student administration or support services.
- Preferred: Experience working with corporate clients or in service delivery teams handling SLA-driven
environments.
- Proficient in using Student Information Systems (SAM, Dynamics), MS Office, MS Teams, and online platforms.
- Familiarity with POPIA, student data privacy and compliance-focused administration.
