Job Purpose:

The Facilities Coordinator plays a key role in ensuring the smooth daily operation of a complex manufacturing facility, including cleanroom environments, laboratories, and general production support areas. The role involves managing multiple service vendors, ensuring compliance with strict hygiene and safety protocols, and maintaining high operational standards across all facility functions.

Key Responsibilities:

1. Vendor & Contractor Management

- Supervise outsourced vendors for cleaning, pantry, waste management, pest control, landscape, fish pond, and office supplies .
- Ensure vendor compliance with GMP, EHS, and cleanroom protocols through routine inspections, audits, and KPI monitoring.
- Coordinate service schedules around production needs to avoid disruption in manufacturing operations.
- Manage permits to work (PTWs) and contractor safety protocols for all site works.

2. Cleaning & Housekeeping

- Oversee daily and periodic cleaning of general areas, cleanrooms, labs, and support zones in line with SOPs and regulatory standards.
- Ensure cleaning staff are trained and adhere to gowning procedures, zoning requirements, and ISO cleanroom classifications .
- Coordinate terminal cleaning and high-level disinfection activities in cleanrooms or critical areas when required.

3. Waste Management

- Implement and monitor segregation, storage, and disposal of general, hazardous, and biomedical waste.
- Coordinate with licensed waste disposal vendors ensuring compliance with local regulations and site procedures.
- Maintain waste generation logs and provide data for sustainability reporting or audits.

4. Pest Control

- Schedule and oversee routine and preventive pest control activities, especially around clean zones and storage areas.
- Ensure service records are maintained, risk areas are monitored, and corrective actions are taken promptly.
- Conduct periodic site assessments with the pest control vendor for high-risk areas (e.g., loading bays, waste zones).

5. Pantry & Office Support

- Manage pantry services ensuring hygiene, quality, and supply of consumables are maintained.
- Oversee stock levels of office supplies , lab stationery, and pantry consumables with timely reordering.

6. Landscaping & Fish Pond Maintenance

- Coordinate routine landscaping and pond maintenance activities ensuring the site’s aesthetics and hygiene are preserved.
- Work with vendors for seasonal work and health of aquatic life in line with site policies.

7. Space Management

- Support workspace planning , seating allocation, and minor relocations for office and support functions.
- Maintain and update space utilization reports , seating charts, and occupancy records.

8. Client & Stakeholder Interface

- Act as a first point of contact for client representatives, users, and internal departments.
- Respond to and close service requests from stakeholders across production, quality, and admin teams.
- Coordinate and communicate planned maintenance or shutdowns in advance.

9. Business Unit Ad-hoc Support

- Fulfill facility-related ad-hoc requests from manufacturing, labs, warehouse, and office units, ensuring timely and safe execution.
- Assist in setting up events, internal programs, or temporary layout changes.

10. Documentation & Compliance

- Maintain updated SOPs, checklists, and service records for audits and inspections.
- Support EHS, ISO, GMP, and client audits by providing required data and documentation.
- Follow all site-specific safety protocols, incident reporting procedures, and participate in safety drills or programs.

Qualifications & Experience:

- Diploma in Facilities Management, Engineering, or related field or 2–53years of relevant experience in a manufacturing or cleanroom environment preferred.
- Strong understanding of cleanroom practices, EHS requirements, and vendor coordination.

Skills & Competencies:

- Strong organizational and problem-solving skills
- Knowledge of cleanroom classification and GMP principles
- Proficiency in MS Office (Excel, Word, Outlook); CAFM or CMMS tools (preferred)
- Effective communication and stakeholder management
- Ability to multitask and perform under pressure in a high-compliance environment

Working Conditions:

- Based on-site full-time
- Exposure to controlled environments (cleanroom, labs) with required PPE usage
- May require occasional off-hour support for shutdowns, audits, or emergency maintenance
