Regional Sales Coordinator

Mission

The Regional Sales Coordinator is responsible for the day-to-day commercial coordination and operational support of assigned distributor markets . This role ensures efficient execution of commercial activities, sales administration, forecasting, order management, and communication between all internal departments. This position plays a key role in supporting sustainable sales growth by ensuring operational excellence, timely follow-up, and high-quality service to distributors.

Main responsibilities

Distributor & Wholesaler Management

- Act as the main operational contact for assigned distributors, handling daily communication on orders, forecasts, launches, pricing and availability.

- Manage distributor relationships and ensure compliance with agreements, brand standards and company policies.

- Monitor distributor performance, purchases and stock levels, and prepare regular business reports.

- Coordinate promotional activities and provide distributor sales teams with commercial materials.

Sales Coordination & Commercial Operations

- Coordinate order processing with the OMD team, proactively resolving status issues.

- Consolidate distributor/wholesaler sales forecasts and support pricing and commercial condition updates.

- Coordinate product launches and promotional campaigns with the Regional Marketing Manager.

Demand & Sales Forecasting

- Own the end-to-end sales forecast and demand planning process, in line with the agreed business forecast.

- Lead forecast validation with distributors through demand review and S&OP meetings.

- Build time-phased forecasts by product, in value and volume, based on sales history, market trends and the launch and activity calendar.

Inventory & Stock Optimization

- Calculate replenishment needs from the forecast, manage purchase orders and coordinate replenishment plans with Supply Chain.

- Monitor regional stock levels and propose and follow up on stock reduction plans.

- Define and maintain the safety stock policy, flag slow-moving stock and lead liquidation actions with stakeholders.

- Promptly alert the GM to any major deviation from forecast (availability changes, stock-out risks, etc.).

Cross-Functional Coordination

- Act as the operational link between distributors, wholesalers, and General Management, following up on customer requests through resolution.

- Support preparation of business reviews and management presentations.

- Ensure compliance with company policies, SOPs, and safety regulations.

- Support continuous improvement initiatives and participate in regional meetings/projects.

Performance Monitoring & Reporting

- Analyze sales performance against budget and forecast, and support annual budget and forecast preparation.

- Build and maintain monthly planning and stock dashboards (forecast accuracy, demand validation).

- Identify operational issues affecting sales or forecasts, and drive corrective actions.

- Support continuous improvement and take part in regional meetings and projects.

Your Profile

- Bachelor's degree in Business, Economics, Marketing or a related field.

- 5+ years of experience in sales coordination, commercial operations or customer management; experience in pharma, medical devices or aesthetics is a plus.

- Experience with distributors, wholesalers or international markets.

- Advanced Excel (pivot tables, XLOOKUP/VLOOKUP, reporting) and strong PowerPoint skills.

- Strong analytical skills: sales data, trends, forecasting, reporting and inventory analysis.

- Highly organized and detail-oriented, able to manage multiple priorities independently.

- Excellent communicator, customer-focused and comfortable in multicultural teams.

- Fluent in Polish and English.

- Willing to travel internationally (about 20–30%).
