About this role

Our client, an established investment firm based in New York City, is seeking an experienced Executive Assistant to support a senior executive and broader team. This is a high-touch, fast-paced role combining traditional executive support with Investor Relations coordination and relationship management. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing a high volume of competing priorities while working closely with senior executives, external stakeholders, and internal teams.

RESPONSIBILITIES

- Provide high-level administrative support to an executive and broader team

- Manage complex calendars and coordinate internal and external meetings

- Coordinate complex domestic and international travel, accommodations, and logistics for meetings and conferences

- Manage and maintain the CRM platform, including updates, meeting tracking, reporting, and other relevant information

- Support Investor Relations initiatives, including organizing and maintaining materials and documentation

- Coordinate external events, including preparation and follow-up

- Process expenses

- Interface and collaborate with senior executives, external stakeholders, and internal teams

- Handle highly confidential and sensitive information with discretion

- Assist with additional administrative needs and special projects as needed

REQUIREMENTS

- Prior executive administrative experience — within an investment environment or similarly fast-paced professional setting is a plus

- Bachelors Degree or equivalent

- Proficiency in Microsoft Office Suite, particularly Outlook

- Experience working with CRM platforms preferred

- Proven ability to manage a high volume of concurrent requests in a fast-paced environment while maintaining strong attention to detail

- Highly organized with strong prioritization skills and the ability to manage competing demands in real time

- Proactive and resourceful, with the ability to anticipate needs, and take initiative

- Strong written and verbal communication skills

- Comfortable learning and adopting new technology and tools to improve efficiency

- Collaborative, positive, can-do attitude with a high level of responsiveness and commitment

SALARY
$125–175K DOE + Discretionary Bonus + Benefits + 401K

HOURS
9:00/9:30am–6:00/6:30pm (DOE) + Flexibility as needed!
