Responsibilities
- Work collaboratively in a corporate office within a small team to complete assigned tasks and support overall department goals.
- Process customer orders accurately and efficiently, including entering and updating order details in the ERP system (such as NetSuite).
- Accept and input orders into the ERP system, ensuring all information is complete, accurate, and aligned with customer requirements.
- Handle the entire back-end process of orders, including reviewing order details, identifying issues, and proactively resolving discrepancies.
- Reach out to customers to clarify order details when issues arise, ensuring mutual understanding and smooth order fulfillment.
- Perform customer service duties approximately 60% of the time, including answering questions about orders and products via phone, webchat, and email.
- Respond promptly and professionally to customer inquiries, providing clear information and updates on order status, products, and services.
- Work closely with Sales Representatives on customer outreach programs to re-engage past customers and encourage repeat business.
- Make warm and cold calls to past customers to reintroduce offerings, address their needs, and encourage them to place new orders.
- Provide sales support by assisting with customer follow-up, order-related questions, and coordination between sales and operations.
- Collaborate with design and production teams on custom sign requests, ensuring customer requirements are accurately documented and communicated.
- Perform administrative and data entry tasks related to custom orders, including capturing specifications, approvals, and changes.
- Use critical thinking to extrapolate from incomplete information and fill in gaps while maintaining accuracy and customer satisfaction.
- Come up with creative solutions to improve internal processes, streamline workflows, and enhance the customer experience.
- Assist the Sales Department with additional tasks and projects as assigned, supporting both customer service and sales initiatives.
- Maintain clear, concise, and professional communication with internal teams and customers to ensure alignment and understanding.
- Multitask effectively in a fragmented workflow environment, switching between tasks without losing track of priorities or details.
- Demonstrate consistent punctuality and reliable attendance to support team coverage and prevent workflow gaps.
- Maintain a positive, solutions-oriented outlook, even when handling repetitive tasks, order corrections, or process clean-up.
- Adapt to situations where tasks are not clearly defined, using judgment and flexibility to determine appropriate actions.
Essential Skills
- Strong customer service skills with a customer-focused mentality and prior customer service experience preferred.
- Excellent written and verbal communication skills, with the ability to clearly and concisely explain information to customers and colleagues.
- Proven ability to multitask effectively in a fragmented workflow, switching between tasks without confusion or loss of progress.
- High attention to detail when entering orders, updating records, and communicating customer requirements.
- Ability to learn new software systems quickly, including ERP platforms and related tools.
- Familiarity with Microsoft Office Suite, including applications such as Excel and other Microsoft Office tools.
- Experience with order entry, order processing, and data entry in a professional environment.
- Customer service orientation with a focus on responsiveness, professionalism, and problem-solving.
- Ability to use critical thinking skills to handle tasks that are not black and white and to make sound decisions.
- Strong adaptability and willingness to go with the flow in a dynamic, evolving department.
- Reliable punctuality and good attendance, with a commitment to being present and on time to support team operations.

Additional Skills & Qualifications
- Experience working with ERP systems such as NetSuite or SAP is a plus.
- Familiarity with CRM systems and sales support tools.
- Experience with purchase orders, inventory-related processes, and logistics support.
- Background in call center, customer service, or sales support environments.
- Exposure to outside sales or account management activities is beneficial.
- Proficiency with Microsoft Excel for tracking orders, data, and reports.
- Interest in developing into an Account Manager role that includes outbound calling and commission-based opportunities.
- Ability to maintain a positive outlook when handling repetitive tasks, process clean-up, and explaining the same concepts multiple times in different ways.
- Demonstrated initiative to identify areas for improvement and propose solutions to enhance processes.

Work Environment This is a full-time, in-office position based in a corporate office environment and is not eligible for remote work. The standard schedule is Monday through Friday, working an 8-hour shift between approximately 7:30 a.m. and 4:00 p.m. You will work as part of a close-knit team of about eight people in a setting that blends small-business camaraderie with a strong business presence. The culture is relaxed and laid back, yet expectations are clear: team members are expected to show up on time, contribute consistently, and take ownership of their responsibilities. The environment emphasizes reasonableness, friendliness, and mutual support, with many team members having long tenures and strong loyalty. The role involves daily use of ERP systems (such as NetSuite or SAP), CRM tools, Microsoft Office (including Excel), and communication channels such as phone, webchat, and email. Pay and Benefits
The pay range for this position is $26.00 - $26.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
