HR Specialist-Global Onboarding

Hybrid Work Schedule in Wilmington, Delaware (three days in office per week)

Monday to Friday 8-5 Eastern Time

This is a temporary role for approximately six months and may be extended.

Summary:

As an HR Specialist with the Global Onboarding team, you will be responsible for supporting the onboarding of new employees across the Americas region and ensuring a seamless, compliant, and positive onboarding experience.

The Global Onboarding team sits within our People & Culture department and partners closely with Talent Acquisition and other internal teams throughout the employee onboarding process. Responsibilities include onboarding new joiners, completing monthly data audits, supporting global mobility and immigration processes, and contributing to projects designed to enhance effectiveness and efficiency of our team.

This is an excellent opportunity to gain exposure to global HR practices while developing experience in employee onboarding, HR operations, compliance, and cross-functional partnership.

This is a six-month temporary position.

Some of the things you will be doing:

- Manage the onboarding process for new joiners across the Americas region, ensuring a seamless and positive employee experience.
- Gather, review, and confirm the completeness and accuracy of required onboarding documentation to support compliance and ensure new hires are ready for their start date.
- Partner with Talent Acquisition, new hires, hiring managers, and internal stakeholders to ensure onboarding activities are completed accurately and on time.
- Liaise with external vendors as needed to gather information and support the onboarding process.
- Initiate background checks with vendors and escalate exceptions or non-compliant results as appropriate.
- Audit reports and employee data for accuracy and completeness, identifying and resolving discrepancies to support compliance and data integrity.
- Compile, maintain, and analyze data for team scorecards, reporting, and other business analysis.
- Upload and maintain employment documentation within internal HCM and records databases.
- Maintain a high level of confidentiality and discretion when handling sensitive employee and employment information.
- Contribute ideas and participate in ongoing process improvements designed to enhance the efficiency and effectiveness of Global Onboarding service delivery.
- Assist with global mobility and immigration-related processes as needed.
- Support ad-hoc projects and other team initiatives as required.

What technical skills, experience and qualifications do you need?

- Previous experience of employee onboarding, Human Resources operations, or recruitment, or a related field.
- Experience working with confidential employee information and maintaining accurate records in a compliance-focused environment.
- Strong attention to detail and demonstrated ability to manage processes and documentation accurately.
- Strong written and verbal communication skills.
- Client-focused mindset with a commitment to providing a positive employee experience.
- Self-starter who works effectively both independently and as part of a collaborative team-oriented environment.
- Technical proficiency in Microsoft products and HCM systems or other complex, multi-faceted systems and processes.
- Oracle HSM experience preferred but not required.
