About this role

Position Overview

We are seeking a detail-oriented and organized Administrative & Property Management Associate to support the day-to-day operations of a small commercial real estate portfolio. This role combines administrative support, vendor coordination, property management assistance, and basic accounting responsibilities. The ideal candidate is proactive, dependable, and comfortable managing multiple tasks in a fast-paced environment.

Key Responsibilities

- Coordinate and communicate with vendors, contractors, and service providers.

- Work alongside VP of Building Operations and maintenance to schedule and facilitate maintenance, inspections, and other property-related appointments.

- Assist with leasing for new tenants and tenant renewals.

- Track and maintain Certificates of Insurance (COIs) and ensure vendor compliance requirements are met.

- Assist with property management documentation, tenant communications, and record keeping.

- Collect, sort, and distribute mail and other correspondence.

- Maintain organized electronic and physical filing systems.

- Support basic accounting functions, including invoice processing, data entry, accounts payable support, and expense tracking and reconciliations.

- Assist with general administrative tasks and special projects as needed.

- Monitor and follow up on open tasks to ensure timely completion.

Qualifications

- Previous administrative, office management, or property management experience preferred.

- Commercial property management experience is a strong plus.

- Strong organizational skills with exceptional attention to detail.

- Ability to manage multiple priorities and meet deadlines.

- Proficiency with Microsoft Office Suite (Outlook, Excel, Word) and general office software.

- Basic accounting or bookkeeping experience required.

- Strong written and verbal communication skills.

- Self-starter with a professional and customer-service-oriented attitude.

Preferred Skills

- Experience with and basic understanding of tracking Certificates of Insurance (COIs).

- Familiarity with vendor management and maintenance coordination.

- Knowledge of commercial real estate operations.

- Experience with property management software is a plus.
