Job Summary

The Subcontract Manager is responsible for managing the full lifecycle of subcontractor relationships and the direct reports that support this position. The lifecycle of the subcontractor may include prequalification, assistance with subcontractor evaluations, contract award support and management, subcontractor performance monitoring and metrics – including potential inspections, validation of quality and conformance with specifications, invoicing, reviewing any potential subcontract change orders, facilitation of communications and / or project changes, and closeout. This role ensures subcontractors meet the requirements of: The contractual specifications, Schedule – including fabrication, delivery, installation, and checkout, Quality – both off site and on project site, Safety – with a focus on project site, and financial requirements. The Subcontractor
Manager also needs to be able to adapt to different project strategies as determined with the client. Certain clients might have existing relationships, commitments, or suppliers that will be engaged as subcontractors.

Key Responsibilities:

1. Assist with subcontract negotiations and procurement strategies for new projects.
2. Conduct regular subcontractor performance reviews and address performance issues promptly.
3. Coordinate subcontractor onboarding, prequalification, insurance, bonding, licensing, and compliance requirements.
4. Ensure compliance with company policies, contract terms, applicable laws, and project requirements.
5. Identify contractual and commercial risks and develop appropriate mitigation strategies.
6. Lead subcontract closeout activities, including final payments, releases, warranties, and outstanding documentation.
7. Maintain accurate contract records, correspondence, amendments, and supporting documentation.
8. Manage subcontractor relationships and serve as the primary point of contact for assigned subcontractors.
9. Monitor subcontractor performance against contract requirements, project schedules, budgets, quality standards, and safety expectations.
10. Review and process subcontractor change requests, claims, time extensions, and potential disputes.
11. Review, negotiate, and administer subcontract agreements, purchase orders, change orders, and related documentation.
12. Support project forecasting, cost reporting, accruals, and financial reconciliation.
13. Track subcontractor deliverables, milestones, submittals, invoices, and payment applications.
14. Work closely with project managers, procurement, legal, accounting, estimating, and field teams.

Minimum Job Requirements:

1. 5+ years of experience in subcontract management, contract administration, construction management, procurement, or a related field. Preferred experience with managing a direct report as support of the process.
2. Ability to mentor and guide others in the process of subcontractor management.
3. Ability to work effectively with project teams, vendors, subcontractors, and senior management.
4. Bachelor's degree in Construction Management, Business, Engineering, Supply Chain, or a related field with 0-5 years of experience or at least two years of experience on active projects with subcontractors.
5. Experience reviewing financial and contractual documentation.
6. Familiarity of applicable construction regulations, insurance requirements, bonding, and compliance practices.
7. Familiarity with the subcontracting process, required deliverables, flow of relevant information to and from the subcontractor, and ability to understand and report progress of the subcontractor relative to the subcontractor's deliverables.
8. Strong understanding of construction contracts, subcontract agreements, change management, and claims.

10. The ability to be organized and handle multiple items at once either directly or through direct reports, and problem-solving skills.
11. The ability to communicate priorities and resolve conflicts in a professional manner.
