General Description

The purpose of th is job within the organization is to create, organize, and oversee events, programs, and activities and to m arket, recruit, train, manage, and retain volunteers for programs and special events.

This job works under general supervision, independently developing work methods and sequences.

Duties and Responsibilities

The functions listed below are those that represent the majority of the time spent working in this job . Management may assign additional functions related to the type of work of the job as necessary.

Essential Functions:

Develop and implement events, programs and activities for the department.

Coordinate site logistics, including traffic maps, work orders, layouts, meetings, safety plans, and communication/marketing plans.

Create marketing materials and collaborate with communications for press releases and flyers.

Schedule staff and prepare supplies for events.

Prepare Emergency Action Plans and safety plans for each event, collaborating with citywide event logistics teams.

Book and coordinate vendors, entertainment and equipment logistics for events; manage contracts, insurance, and procurement.

Identify sponsorship opportunities and perform sponsorship fulfillment and reporting tasks.

Ensure safety of participants during events.

Gather event summary data and write post-event reports, including attendance data, labor hours, budget, and participant evaluations.

Review, recommend, and update divisional policies related to event safety and operations.

Manage support teams for special events.

Research and recommend new events and activities.

Market, recruit & oversee volunteers for programs and special events.

Train volunteers ; c reate and update volunteer policies, procedures, forms and reports.

Provide volunteer management and oversight during events and programs.

Manage volunteer and event software and records .

Identif y , prepare, and justif y annual budget requests.

Attend and actively engage in meetings and provide accurate reports to supervisor.

Performs related work as assigned .

Minimum Education and Experience Requirements:

A bachelor's degree in business administration, hospitality, liberal arts, or closely related field is preferred.

T wo years' experience recruiting/managing volunteers and event planning preferred.

Physical Demands:

Performs l ight work that involves walking or standing most of the time and involves exerting up to 20 pounds of force on a regular and recurring basis, or skill, adeptness and speed in the use of fingers, hands or limbs on repetitive operation of electronic office equipment within moderate tolerances or limits of accuracy.

Special Certifications a nd Licenses :

Valid Texas Driver's License

CPR/First Aid/AED Certification
